Abilities Specialist

(40 hours/week)

Waterloo Office

The Abilities Specialist is responsible for the general coordination of the Karis Disability Services employee Medical Leaves of Absence and Accommodation Plans in accordance with all policies, and applicable legislation. The Abilities Specialist serves as the primary liaison and ensures accurate coordination of information between employees, supervisors, regulatory agencies, third party claims adjudicator, and the Human Resources Department. The Abilities Specialist monitors and coordinates return to work for all Short Term and Long Term medical leaves. They support the Human Resources Management team with accurate information and documentation related to complex accommodation cases and legal matters.

Responsibilities:

  • Ensure accurate and up-to-date Medical Leave of Absence and disability-related Workplace Accommodation information is available through the benefits booklet for Long Term Disability information, packages, and on internal and external webpages.
  • Work with third-party adjudicators to identify and implement continuous improvements to the Medical Leave of Absence and disability-related workplace accommodation processes; including the review and coordination of contract wording changes, program updates, and employee training recommendations.
  • Support managers with written communications related to Medical Leaves of Absence and Accommodation for distribution to employees.
  • Respond to inquiries regarding Medical Leaves of Absence and/or workplace accommodations.
  • Review the case updates provided by the adjudicator and ensure employee changes are recorded accurately in the Human Resources Information System.
  • Audit payroll reports each pay cycle for medical leave status changes. Notify the payroll team of status changes that could impact the employee’s pay.
  • Serve as a liaison where necessary between Karis Disability Services
  • employees and the claim adjudicator to facilitate the effective communication, understanding of requirements, and transfer of appropriate information to facilitate the claim approval, review, and appeal or denial process.
  • Work collaboratively with the Human Resources Management team and/or Director of Human Resources to provide information related to legal claims, accommodation requests and/or applications to the Human Rights Tribunal.
  • Provide supervisors with tools, direction, training materials, and resources to successfully navigate Short Term Disability (STD), Long Term Disability (LTD), disability-related workplace accommodation, and Injury at Work (IAW) processes.
  • Coordinate claims for STD, LTD, disability-related workplace accommodations, and IAW with the adjudication provider, including the initiation of the claim, ongoing monitoring of the claim, and confirmation of appropriate claim closure.
  • Provide employees/supervisors with information, forms, and resources as they navigate the Medical Leave of Absence process.
  • Manage the process for transition from Short Term Leave or Injury at Work leave to Long Term Disability benefits with the insurer.
  • Arrange and lead and/or participate in Return to Work (RTW) meetings between employees, supervisors, union representatives (where applicable), and the adjudicator or insurance provider.
  • Working with the Human Resources Management team, provide recommendations and appropriate documentation when an employee is not following the Medical Leave of Absence process.
  • Provide Medical Leave of Absence and accommodation reports to Districts monthly.
  • Reconcile monthly disability billings and submit them to Finance for processing.
  • Liaise with the adjudication provider regarding the process for salary continuance and paramedical expenses for the Injury at Work program.

Requirements:

  • 3-5 years of previous similar work experience
  • College Diploma (Benefits Administration preferred)
  • Certificate in Disability Claims Management is preferred
  • Strong verbal and written communication skills
  • Interpersonal Relations & Respect
  • Knowledge of relevant legislation (Employment Standards Act, Human Rights, Workers Compensation)
