POSITION SUMMARY: Serves as a crucial administrative and clerical support to the leadership team, ensuring the confidentiality, effectiveness, and efficiency of organizational operations. This role is essential in maintaining seamless workflows and enabling strategic decision-making. WHAT YOU’LL DO:
  • Demonstrate a high level of confidentiality in handling sensitive information and maintaining the privacy of all communications and records.
  • Efficiently manage and coordinate leadership Microsoft Outlook calendars, ensuring all appointments, meetings, and events are accurately scheduled and updated
  • Arrange travel arrangements, as required
  • Accountable for drafting, reviewing and/or editing time-sensitive correspondence
  • Complete and/or review reimbursement and credit expense reports
  • Coordinate departmental office activities and events
  • Provides administrative assistance related specifically to project requirements
  • Prepares and maintains a variety of documents, correspondence, reports, tracking tools and status reporting mechanisms, presentations and related materials from handwritten or electronically produced drafts and/or dictating equipment; reviews and proofs documents and forms for accuracy and completeness
  • Assist with reports and presentation preparation
  • Books, prepares meeting rooms, attends meetings for the purpose of minute taking; transcribes minutes and distributes accordingly; follows up on issues when required
  • Establishes and maintains appropriate departmental files, both manual and digital; maintains reference materials for the department, researches and compiles information as requested
  • Records attendance, vacation and logs hours for self and others where required
  • Participates in various internal committees
  • Assists in fostering a positive, collaborative, team based working environment aligned with TransForm’s values
  • Effectively communicates within the team to ensure seamless coordination, timely dissemination of information, and collaborative problem-solving.
  • Opens incoming mail/email/deliveries, screens and redirects, as appropriate, using professional discretion and judgment, highlighting pertinent information or taking appropriate action
OTHER CONDITIONS:
  • Minimal exposure to disagreeable conditions typical of an office position: exposed to stress and pressure associated with multiple priorities and deadlines
  • Must be able to travel within the Southwestern Ontario area, when required
  • Must be able to work evenings and weekends, when required
