Admin Support 3 – Booking Coordinator

(1 Position Available)

Term of Employment: Full-Time, Continuing

Rate of Pay: Band 3: $26.87 - $29.52 per hour (Subject to CUPE 1015 Agreement)

Location: Bioclean Aquatics Centre

Duties:

The Admin Support 3 – Booking Coordinator position is responsible for taking bookings at the Bioclean Aquatic Centre, Outdoor Pool and Bud Miller All Seasons Park including weddings, meetings, birthday parties and other events. The Admin Support 3 prepares and processes documents and is responsible for processing the facility’s deposits, accounts payable and accounts receivable.

Duties And Responsibilities

Accounts Payable and Receivables:

  1. Creates and processes invoices for users.
  2. Creates purchase orders for purchasing facility materials.
  3. Completes forms for new vendors and customers to be added to GP.
  4. Pays facility bills and completes purchase orders for refunds.
  5. Completes month-end reports.
  6. Completes deposits for all front-end shifts throughout the week.
  7. Orders change for the register and safe as required.

Administration Duties:

  1. Reviews programs and facility bookings in Recreation Software; provides updates to lifeguards, staff and the public.
  2. Creates and prints monthly facility schedules; has copies available for the public.
  3. Orders gift certificates and complimentary passes as required.
  4. Communicates with Marketing to update information related to the Bioclean Aquatic Centre, Bud Miller All Seasons Park and Outdoor Pool website pages.
  5. Facebook page administrator.
  6. Assists with other related office duties, including printing, scanning, faxing, emailing, etc.
  7. Orders Supplies/Merchandise.
  8. Enters inventory into POS Manager when merchandise arrives.

Customer Service:

  1. Responds to customers' needs in a timely, courteous manner; strives to consistently meet service standards; and follows up with customers during and after delivery of service to ensure that their needs have been met.
  2. Main point of contact for user groups and booking customers.
  3. Completes general front administrative duties from time to time, including answering incoming calls, greeting patrons and customers, accepting payment and providing information.

Other:

  1. Other related duties as required.

Schedule: Normal working hours are Monday through Friday 8:00 a.m. to 5:00 p.m., however there may be the occasional requirement to work outside of these standard hours.

Qualifications:
  1. Post-secondary Diploma in Business Administration or a related field from a recognized institution.
  2. Two years’ experience in a prior administrative position.
  3. Ability to work effectively in a digital office environment; proficiency in Microsoft Office including Word and Excel.
  4. Strong communication, organizational and time management skills.
  5. The ability to multitask and converse both verbally and in written correspondence.
  6. Valid Standard First Aid and CPR C.
Pre-Employment Requirements:
  1. Satisfactory Criminal Record Check.
  2. Successful applicant must provide proof of qualifications.
  3. Applicants with international education will be required to include an Academic Credential Assessment with application.
