The Law Society of BC is seeking a permanent, full-time Senior Licensing Analyst in our Registration & Licensee Service department. Reporting to the Director, Registration & Licensee Services, the Senior Licensing Analyst is responsible for processing complex, critical, complex, and urgent and escalated applications, as well as answering general and complex queries from lawyers, articled students, law firms, law corporation, third parties, Law Society staff, and the general public.

The Senior Licensing Analyst is also responsible for administering the Law Society Admission Program (LSAP) and the Temporary Articles (TA) program and conducting data quality assurance on processed applications in addition to providing support and oversight of Licensing Analysts.

The incumbent is expected to exercise considerable independent judgment and action in a complex, multi-faceted role with a deadline-based need for attention to detail. Complex inquiries, unusual situations and non-compliance with requirements are referred or escalated to the Team Lead or the Director accordingly in a timely manner.

The duties of this position include:

  • Review applicant eligibility, assess requirements, process critical, complex and/or urgent applications, issue invoices and refunds, and take payments in accordance with the Law Society’s regulatory framework including the Legal Profession Act, the Law Society Rules, and organization and department policies and procedures.
  • Oversee the administration of application processing for LSAP and TA, including, but not limited to, maintaining the Student inbox, monitoring processing time and application volume, obtaining lists of law graduates from universities, liaising with internal stakeholders regarding the progress of LSAP and TA applications, and performing data quality assurance checks and monthly tasks associated with these applications.
  • Respond to general and escalated complex queries and associated correspondence, emails and phone calls from applicants, lawyers and third parties, and handle escalated urgent calls or difficult callers as appropriate.
  • Review searches concerning disposal information conducted by Licensing Analysts, conduct additional searches if appropriate, and draft affidavits and statutory declarations accordingly.
  • Draft memos to other departments when requested; draft or propose changes and coordinate approved edits required to the Law Society website, application documents, template letters, and other correspondence as policies and processes and fees are changed.
  • Maintain job, policy, process and procedure manuals, application documentation and email precedents. Review changes made by Licensing Analysts and edit as appropriate.
  • Provide training to new team members and other Law Society staff when assigned.
  • Provide relief coverage and support for Licensing Analysts, other Senior Licensing Analysts, Team Leads, and the Director when requested or assigned.
  • Lead special projects for the department when assigned.
  • Identify, discuss, and recommend opportunities for intra- and inter-departmental process improvements with the Director on a regular basis, as well as assisting with implementing process changes and participating in inter-departmental process improvements activities; assist with data corrections, data clean-up, and data migration when assigned.
  • Such other duties as required by the Director.
Qualifications
  • Bachelor’s degree or an equivalent combination of education and experience
  • Minimum five years of relevant regulatory experience or equivalent combination of education and experience
  • Minimum of three years of supervisory experience
  • Strong understanding of the role of regulation within the legal profession and legislative frameworks governing regulation
  • Experience in corporate filings and registrations with B.C. Registry, handling corporate and ownership documents, or processing applications for professional corporations or equivalent an asset
  • Strong written and verbal communication skills
  • Experience in drafting, proofreading and editing broad communication materials and procedural manuals in a clear and concise manner using plain language an asset
  • Exceptional organizational skills and proven ability to perform multiple tasks, manage high volumes of work to meet deadlines, and deliver results under pressure without sacrificing attention to detail
  • Proven willingness to take initiative
  • Strong problem-solving and analytical skills, including demonstrated proficiency in recommending solutions to complex compliance issues
  • Ability to use a common-sense approach and exercise sound judgement in recognizing scope of authority and protecting confidential information a must
  • Knowledge and experience with database management
  • Experience in implementing system changes and process changes an asset
  • Digital acumen with an understanding of adopting or using appropriate technologies, databases, and platforms
  • Strong working knowledge of Microsoft Office applications including Word, Outlook, and Adobe
  • Intermediate Microsoft Office Excel working knowledge. Experience in reconciling data sheets for statistical reporting as asset
  • Ability to work independently, and as a team player, in a fast-paced environment
  • Adaptable to changing environments and work processes
  • Ability to build and maintain effective working partnerships
  • Ability to maintain objectivity and fairness
  • Ability to maintain tact and a calm demeanor when dealing with diverse groups of people with different personalities as well as during busy and stressful times
  • High level of integrity, diplomacy and discretion when working with confidential and/or sensitive information

The salary range for this position is $64,713 to $70,340.
