Key Responsibilities:PC Oversight, Training & Quality Control· Provide daily oversight and support to Project Coordinators to ensure consistency, accuracy, and completeness of project documentation· Train, mentor, and assist with onboarding of Project Coordinators on company procedures, systems, and construction administration best practices· Ensure Project Coordinators are following proper documentation protocols, filing standards, and internal workflows· Review PC deliverables including project setup packages, meeting minutes, logs, trackers, and close-out documentation for quality and compliance· Act as the first point of escalation for Project Coordinators regarding procedures, logistics, and administrative challenges· Assist management with workload coordination and resource planning within the PC team.Project Setup & Handover Leadership· Oversee and support all awarded project setups to ensure consistency with company standards· Lead or coordinate project handover meetings between estimating, project management, and site teams· Ensure project folders, document control systems, and tracking tools are properly established and maintained· Oversee the preparation of initial project documentation including SPCs, payment applications, H&S binders, contact lists, and schedules· Ensure smooth transition from estimating to operations with clear, complete, and accurate documentationProject Coordination & Administration (Senior Level)· Support Project Managers with higher-level coordination, tracking, and reporting across multiple active projects· Oversee systems for RFIs, change orders, site instructions, meeting minutes, site reports, and correspondence· Ensure consistent document control, drawing management, and record keeping across all projects· Assist Project Managers with monthly billing processes, Schedule of Values updates, and project reporting· Review administrative processes and recommend improvements to increase efficiency and consistencyBridge Between PCs and PMs· Act as the primary operational link between Project Coordinators and Project Managers· Ensure project teams receive the proper administrative, logistical, and documentation support· Proactively identify gaps in project support, communication, or documentation and implement solutions· Support Project Managers by allowing them to focus on technical, client, and site management responsibilitiesMinor Project Management· Manage assigned small or low-risk projects as Project Manager, including coordination, documentation, scheduling support, and client communication· Liaise with consultants, subcontractors, suppliers, and internal staff to ensure projects are delivered in accordance with company standards· Oversee administrative and logistical components of assigned projects from award through close-outTechnology, Systems & Continuous Improvement· Support and enforce consistent use of company software, templates, and document management systems· Assist with developing, updating, and implementing standard operating procedures and training materials· Participate in continuous improvement of project administration workflows and internal standardsQualifications include:Strong construction administration knowledge with an understanding of project management principlesProven ability to mentor, train, and support junior staffStrong organizational, problem-solving, and leadership skillsExcellent written and verbal communication abilitiesAbility to manage multiple priorities across numerous active projects· Strong computer skills in Word, Excel, Outlook, and project management/document control systemsRequirements include:· 3 - 5 Years experience in construction project coordinator or management· Must speak, write and understand English fluently· G Drivers license with a clean abstract required· Willingness to drive to multiple sites as required throughout the GTA and Southern Ontario· Strong computer skills in Word, Excel, Outlook, and project management/document control systems.Compensation Package:· Salary range of $70,000 - $80,000 based on experience· Benefits package (health and dental)· Fuel and vehicle maintenance allowance· Company cellphone or allowanceOngoing training and development opportunities
