Position: Project Coordinator (Member Migrations)Location: Toronto, ON (Hybrid - 1-2 days onsite downtown)Job Type: ContractWhat is the Opportunity:We're looking for a Project Coordinator to support the Senior Project Manager on a large-scale File Forwarding System Modernization Project. This role focuses on coordinating the migration of all members from a legacy platform to a new solution, managing the full end-to-end process from discovery through implementation and warranty.The ideal candidate is proactive, detail-oriented, and driven to deliver an excellent client experience. You'll collaborate with internal and external stakeholders, ensuring objectives are met on time, within scope, and on budget — following industry-standard project management practices (PMI/PMBOK).Main Duties & ResponsibilitiesProject Coordination:- Act as the primary liaison between members, service providers, partners, and internal teams for migration activities related to the modernization project- Track project issues, risks, actions, and decisions at both the individual member and aggregate levels- Communicate proactively with all stakeholders regarding project status and potential risks- Build and maintain strong day-to-day relationships with stakeholders across the organization and external partners- Ensure all member documentation is complete and follow up as needed- Support the Senior Project Manager in managing all aspects of the project lifecycle, including change management, process management, quality management, and transition to business operations- Manage project scope, costs, and milestones while maintaining detailed delivery schedules and reporting on progress- Create and maintain key project artifacts such as charters, schedules, resource plans, contingency plans, meeting minutes, and governance documents in compliance with PMO standards- Chair or co-chair regular project team meetings and governance forums to review progress with key stakeholders- Work flexible hours as needed to support off-business hours migration activitiesContinuous Improvement:- Recommend process and delivery improvements to the Senior Project Manager or Project Sponsor based on project monitoring and control- Assess and optimize the use of existing and emerging technology tools to enhance team and member experience- Contribute to improving project management best practices to drive consistency, transparency, and execution excellence- Support ad hoc PMO tasks and special projects as requiredWhat We're Looking ForEducation & Experience:- 2-5 years of experience in project coordination or delivery, ideally within the financial services or technology sector- Experience supporting software development projects using both Waterfall and Agile methodologies- PMP or equivalent project management certification is an asset- Agile certification (e.g., Scrum Master) is an assetTechnical Skills & Knowledge:- Proficiency in Microsoft 365 and SharePoint- Experience with MS Project Server or Project Online is an asset- Knowledge of project management methodologies (PMI, PMBOK) and the Software Development Life Cycle (SDLC)- Experience with Atlassian tools (JIRA, Confluence) is an asset- Strong technical acumen with the ability to quickly adapt to new tools and systemsSoft Skills:- Excellent relationship management, communication, and stakeholder engagement skills- Proactive with a strong sense of ownership and accountability- Skilled at problem-solving, critical thinking, and risk management- Strong presentation and documentation abilities, with attention to clarity and precision- Able to navigate complex, matrixed environments effectively- Bilingualism (French) is an assetPlease send your resume in Word format to Shannon Scullion at shannon.scullion@quantum-qtr.com.REFER A HIRE AND EARN $1,000 For more details, click here.
