Reporting to the VP Enrolment & Community Engagement, the Director will envisage, build and lead an integrated Ancillary Services presence for the College. The Director will design and oversee business planning for all Ancillary Services operations and institute College-wide systems of service and accountability for the growth and expansion of net revenue generating (non-academic) activities at the College. Individual in-house business/service functions require complex matrix management.

Specific responsibilities are: Bookstore, Print and Graphic Services; Child Care Services,; and Facilities Rentals. Contracts managed include those food services, , vending, onsite film production and site leases. The institutionally operated and contractor operated business services generate an annual gross revenue of approximately $7 million.
Ancillary Services will contribute to a positive campus life experience for students and staff and provide a revenue stream for the College. To accomplish this, current services will be regularly reviewed and new business activities will be developed.
The Director of Ancillary Services will lead the department by encouraging, supporting and managing operations such that a financial contribution and satisfactory service delivery to Camosun College is assured. This will require working actively and collaboratively with all academic schools and service departments at the college in order to develop a thriving net revenue-neutral or revenue-generating capability. This entrepreneurial department will provide business planning support to the college community and to business partners, such as the Pacific Institute for Sport Excellence. A centralized risk management plan is to be in place for these business and service operations. Service and revenue capacity will be enhanced through new services, contracted services, partnership agreements and joint ventures.

  • Regional Managers and unit managers for contracted services report to Camosun College through the Director, Ancillary Services. Contracted or term employees are engaged on a project-by-project basis.

ESSENTIAL JOB FUNCTIONS
  1. Provides leadership to overall programs and services for the department of Ancillary Services
  2. Identifies and responds to student and staff needs and business opportunities with high quality products and services;
  3. Develops current and new business activities, seeking out and securing additional net revenue generating activity and expansion with innovation and full accountability for financial results;
  4. Administers Ancillary Services on a self-funded and revenue generation basis;
  5. In collaboration with VP Enrolment & Community Engagement, provides risk management and oversight for Ancillary Service activities, including process review, developing business case, costing structure and sign off protocols;
  6. Ensures that decisions and processes are coordinated and communicated within the department, with other schools/divisions of the College, to the VP Enrolment & Community Engagement and Executive Committee members and to the external community, as appropriate;
  7. Ensures the department's tactical and operational plans are developed and implemented;
  8. Provides appropriate accountability to the Board of Governors, the student body, Camosun community and the public;
  9. Provides leadership and consultation services to all schools/divisionsof the college regarding business planning and service delivery;
  10. Initiates, coordinates and interprets market research relevant to the business planning of the department;
  11. Ensures service contracts are negotiated to meet the needs of the student and staff communities of the college, and to contribute maximum revenue to the college (such as food services, , vending, telecommunications site leases, ATM machines etc);
  12. Oversees, monitors and evaluates the performance of contracted service delivery (ie financial reporting and remittance, service levels, product pricing and selection);
  13. Provides a College resource for entrepreneurial activity, offering advice, support, planning, etc. to College departments;
  14. Participates in the preparation of the Enrolment & Community Engagement Division strategic plan and input into the development of the College's Strategic and Campus Plans;
  15. Coordinates, develops and presents annual budget for all business activities within the Ancillary Services department;
  16. Ensures that policies and procedures for the department are developed, implemented and systematically reviewed;
  17. Determines and appoints the appropriate staffing mix to fulfill the mandate of the department;
  18. Provides leadership and direction to departmental personnel; ensures there is planned human resource development and performance review for employees to facilitate both short and long term success of the department in a competitive entrepreneurial environment;
  19. Ensures that the department'sbusiness plan is developed, implemented and monitored in keeping with the College's objectives, policies and procedures;
  20. Provides leadership and planning to ensure appropriate facilities are in place to maximize service delivery and revenue generation;
  21. Participates in and contributes to the Enrolment & Community Engagement leadership team;
  22. Participates in and contributes to the Senior Leadership Council;
  23. Leads College-wide committees or task forces relating to Ancillary Services (such as Retail Development, Facility Rentals, Food Committees);
  24. Participates in College-wide committees;
  25. Represents the College, division or unit, internally or externally, as appropriate;
  26. Stays abreast of trends relating to or affecting Ancillary Services by activity participating in industry related organizations, subscribing to relevant publications and participating in relevant professional development opportunities.
OTHER FUNCTIONS AND RESPONSIBILITIES Performs other related duties as assigned. Qualifications
  1. Established professional credibility; Master's degree in a relevant field; and/or a combination of formal and informal education and experience with demonstrated professional credibility.
  2. Minimum five years' progressive and successful management experience in a range of senior and/or mid-level administrative positions with directly relevant experience in the development, delivery, management, and administration of business and services in both post-secondary and private sector environments.
  3. Demonstrated skills in negotiating complex service contracts with public, private and community organizations and developing business plans.
  4. Knowledge of business operations and practices as usually evidenced by managing business services in the public, private and community and/or equivalent combination of formal and informal programming and adult education experience.
  5. Experience in recruitment, selection and performance management.
  6. Experience working in complex organizations.
