**Recreation Services Assistant**
We are seeking a highly organized and detail-oriented individual to join our team as a Recreation Services Assistant. This is a temporary, full-time position that will support the effective and efficient operations of our Recreation Services department.
Key Responsibilities- Provide exceptional customer service to students, staff, and the public, responding to inquiries and resolving issues in a timely and professional manner.
- Operate the Recreation Service Centre customer service counter, handling membership sales, payments, and registrations for programs and services.
- Manage cash transactions, reconcile daily sales, and maintain accurate records of membership sales and payments.
- Coordinate facilities bookings and rentals, ensuring that rooms are cleaned and presentable prior to arrival.
- Use Active Networks system to create and maintain membership profiles, sell services, book facilities, produce reports, and monitor enrolment.
- Support the Coordinators with administrative tasks, including facility rental contracts, equipment needs, special event planning, and organization.
- Maintain department stationery and materials, order supplies as needed, and prepare hiring, timesheets, and invoices for student staff and contract instructors.
- Assist with Recreation Services advertising and marketing initiatives, preparing and distributing promotional materials, and reviewing and updating the department's website.
- Ensure maintenance and repairs are scheduled and completed in accordance with established procedures.
- Prepare statistical and other reports on membership, booking, schedules, and inventory to assist the Coordinators with planning.
- Maintain accurate records of locker rentals, bike lockers, and padlocks, conducting annual reconciliation and clean-out of lockers and bike lockers.
- Assist with monitoring of all Recreation facilities and programs, ensuring users comply with safety rules and regulations.
- Assist in orientation and training of student staff, supervising student staff when no Coordinator is present.
- Monitor Recreation Services department email and voicemail accounts, escalating inquiries as appropriate.
- Sort and distribute department mail, roll coins from lockers, and prepare deposits.
- Make announcements on public address system as needed.
- Assist with laundry service, receiving, washing, folding, and replenishing laundry, and maintaining the Lost and Found in accordance with established procedures.
- Follow established emergency procedures, coordinating initial emergency response and administering first aid as needed.
- Maintain department storage rooms and supply rooms in a neat and orderly manner.
- Open and close recreation building.
- Participate in Records Custodian training and remain current with record-keeping practices, policies, and procedures.
- Undertake related duties and special projects as assigned, consistent with the job grade of this position.
- Completion of Grade 12 plus completion of one year of post-secondary training in recreation, physical education, sport management, business, or a related field.
- Two years of general experience plus two years of practical, current experience in recreation-related jobs that include experience working on a point-of-sale cash register (POS) and reconciling daily cash sales.
- Occupational First Aid (OFA 1) or equivalent.
- Demonstrated Microsoft Office experience, with Excel and Word at the intermediate level.
- Experience in maintaining webpages at an intermediate level.
- Familiarity with social media and ability to conduct applicable internet research.
- Excellent verbal and written communication skills, with proven interpersonal, customer service, and conflict resolution skills.
- Excellent leadership skills, a positive attitude, and the ability to work independently and within a team environment.
- Accurate keyboarding skills at 50 wpm.
- Experience with electronic record keeping.
- Ability to prioritize and meet changing priorities and deadlines with a high level of organizational skills.
- Demonstrated ability to document research findings and write general correspondence.
- Ability to use sound judgment, tact, diplomacy, and discretion when working with the public under stressful situations.
- Ability to multi-task and work undistracted in a busy, open, shared work station environment.
- Must be physically able to meet the demands of the position, including setting up for special events, moving equipment and furniture, and receiving, storing, and installing a variety of products and materials.
