Job Summary
Providing advanced communications, project, and social media assistance to the Mother Tree Project (Network), the incumbent will be responsible for supporting the development and implementation and management of communications and social media strategies. The coordinator/ assistant oversees Mother Tree Project (Network) communication channels, works under the supervision of the Communications Director to generate appropriate communication and social media ideas, and executes a wide range of communication and administrative tasks.

Organizational Status
Reporting to the Communications Director of the Mother Tree Project (Network), the incumbent works independently on most tasks, seeking guidance from the Director with new or complex issues. The incumbent works with faculty, staff, students, researchers, and liaises with numerous external organizations and the general public.

Work Performed

Communications and Project Support

  • Provides day-to-day administrative support to the Communications Director which includes responding to complex inquiries and providing information of a complex nature on behalf of the director, and composes complex correspondence
  • Coordinates and works with the Director to develop administrative policies and procedures for the Mother Tree Project (Network)
  • Supports maintenance of Dr. Suzanne Simard's schedule; organizing external and internal engagements, ensures all materials are prepared in advance to engagements, maintaining bring forward items for the Director.
  • Coordinates all travel logistics for team members or visitors arranges travel and accommodation, and co-ordinates visit/events
  • Attends Mother Tree Project (Network) meetings, initiates call for agenda items, gathers information, prepares agenda, takes minutes, distributes minutes, and tracks follow-up items
  • Compiles and conducts routine research on various topics for the Director.
  • Responsible for ensuring the maintenance of the generic email open to the general public for requests related to the Mother Tree Project and Dr. Suzanne Simard. Directs pertinent information and questions from public requests to the Director and Mother Tree Team
  • Supports communications for Mother Tree Project (Network), advancing strategies for promotion of the teams accomplishments, within UBC, as well as nationally and internationally
  • Works with the Director to curate, oversee and implement the communications marketing plan for the Mother Tree Project (Network)
  • Supports the Mother Tree Project (Network) Executive Director by performing financial duties such as preparing travel reimbursement forms and budget drafts
  • Works with the Director to carry out strategic goals and initiatives to create an effective staff team.
  • Performs any other duties related to the requirements of the position

Social Media Management

  • Responsible for the management of Dr. Suzanne Simard's social media platforms on LinkedIn, Twitter, YouTube, and Instagram. Researches, and curates' posts three to four times per week on all platforms; coordinates posts between platforms; engages with social media audience; coordinates and liaisons with the Faculty of Forestry and external organizations to promote material.
  • Works with the Director to curate, oversee and implement the social media strategy

Consequence of Error/Judgement
The nature of the work demands planning the sequence of duties, the work methods to be employed, and the action to be taken, often on unusual problems. The incumbent requires independent judgment, tact, discretion, and initiative, based upon a thorough knowledge of procedures, guidelines, and regulations. Errant decisions or communications could have a serious impact on operations and the reputation of the department and University

Supervision Received
Reporting to the Communications Director of the Mother Tree Project (Network), the individual works independently under broad direction. The Director may provide direction when assigning new duties, facing complex situations, or in need of support.

Supervision Given

Is not required to supervise; may explain work procedures to new or

inexperienced staff.

Minimum Qualifications
High School graduation, plus one year of related training, plus two years of related experience, or an equivalent combination of education and experience.

Preferred Qualifications

  • Preference given to those with an undergraduate degree and speaking a second language
  • Preference given to those with moderate to advanced word processing, data base and spreadsheet programs MS Word for Windows, Excel, PowerPoint, email, and web site creation/maintenance programs WordPress and to apply these systems and applications to the complexity of data and work requirements
  • Ability to work effectively, quickly, and diplomatically with a wide variety of persons.
  • Ability to exercise initiative, tact, diplomacy, discretion, and to work under pressure to meet deadlines.
