The MEng Office within the Schulich School of Engineering is currently seeking a Full-time Temporary Relief MEng Academic Advisor for approximately 18 months.

Reporting to the Manager, Advising, the MEng Academic Advisor will provide individualized facilitation, guidance and support to both continuing and prospective undergraduate and graduate students of the Schulich School of Engineering (SSE). The primary purpose of the position is to provide strategic and accurate advisory support to graduate and undergraduate students, in person, and by email. The Graduate Student Advisor works closely with the Faculty of Graduate Studies, Associate Dean Graduate Studies, individual Department Managers and Graduate Program Directors, faculty members, current and prospective students, and the general public to advise all matters relating to SSE Programs. During peak periods, this position may need to work outside of normal working hours. This is an in-person, on campus role with the possibility of remote work 1 day per week.

Summary of Key Responsibilities (job functions include but are not limited to):

Advising, Current and Prospective Students

  • Provide prospective students guidance and advice on Schulich School of Engineering Programs, supporting exploration of those available as compared to student interests, ambitions and qualifications.
  • Advising on options available should minimum requirements not be met.
  • Source, organize and facilitate orientation resources for incoming students, including ongoing direction and onboarding support.
  • Advise SSE students on individual course registration (including required forms or documentation), degree progression, and ultimately notice of completion.
  • Strategize with individual students as required, enabling choices that best support their success within the Program.
  • Provide advice on all aspects on policies, administrative procedures, degree requirements, in addition to details pertaining to international students

Department Operations

  • Provide support to the SSE Program Directors in reviewing individual students and graduation files, including providing information relating to student transcripts, grades and other as required.
  • Provide information, changes in policy or deadlines to students in a timely manner.
  • Strategize on the application process, providing analysis and suggestions for improvements to provide the best possible service to current and prospective students.
  • Activities related to supporting the Engineering Academic Success Centre.

Strategic Projects & Planning

  • Participate in career fairs, public recruitment events to represent the Schulich School of Engineering MEng program professionally and accurately.
  • Engage with International Student Services to recommend supports for students, prospective and current, to ensure that accurate immigration information is provided.

Continuous & Ongoing

  • Demonstrate diplomacy and tact to ensure that academic policies and procedures are adhered to according to university regulations.
  • Maintain in-depth knowledge of changing University programs, regulations and procedures as they relate to Student Affairs.
  • Ensure that records are stored and destroyed according to university regulations.

Qualifications / Requirements:

  • Undergraduate degree with 2-3 years experience working in a post secondary educational setting.
  • Excellent interpersonal skills appropriate to student advising (listening, conflict resolution, diplomacy, patience, empathy), including having to be firm and make tough decisions.
  • Detailed knowledge of engineering program requirements in addition to faculty and university regulations, processes and procedures.
  • Knowledge of University core business systems (PeopleSoft) an asset.
  • Strong Microsoft Office skills, Outlook, CRM, Teams, Excel and database programs.
  • Knowledge of FOIP regulations.
  • Ability to plan for and efficiently manage multiple complex tasks with strong attention to detail while exercising a high degree of personal effectiveness, good judgment, and initiative in a fast-paced challenging environment.
  • Demonstrated ability to seek out, retain and accurately convey large amounts of detailed information.
  • Proven organizational skills with an ability to set priorities and complete multiple tasks within specified timelines to meet deadlines.
  • Demonstrated ability to take initiative and work both independently and as part of a team within a large, complex, dynamic and sophisticated organization.
  • Demonstrated professionalism, tact and maturity in handling highly sensitive and confidential information ethically and with discretion.
