Job Summary

The Inside Sales/Parts Sales Coordinator plays a vital role in supporting Dealers with aftermarket parts inquiries and sales. This position is responsible for processing and scheduling part sales and incident report orders, ensuring a positive customer experience.

Key Responsibilities
  • Obtain required information from Dealers to provide accurate quotes.
  • Coordinate with other departments or suppliers on pricing and lead times for non-standard requests.
  • Ensure timely customer responses to incoming inquiries and supply requirements.
  • Verify customer credit ratings and dealer validity before quote and order completion.
  • Process parts orders from existing quotes, dealer purchase orders, and populate and process IR documents/orders.
  • Schedule parts orders and maintain order information on the Heijunka Board.
  • Follow up with purchasing to ensure delivery meets scheduled shipping dates and maintain communication with Dealers.
  • Follow up with shipping to ensure parts orders have shipped as scheduled.
  • Issue non-warranty RGA paperwork as required.
  • Adhere to established procedures and controls to ensure quality work per ISO requirements.
  • Participate in Continuous Improvement programs and offer constructive input.
  • Prepare standard sales reports for the Director of Sales on a weekly/monthly basis.
  • Identify areas requiring training and discuss with Field Service and Parts Supervisor.
Health and Safety Responsibilities
  • Follow duties and responsibilities specified under the Occupational Health and Safety Act Sec. 28.
  • Ensure adherence to established safety, quality, and housekeeping standards.
  • Report any known near misses, environmental impacts, hazards, defects, incidents, or compliance issues.
  • Assist in near miss, hazard, and incident investigations and provide input on corrective actions.
  • Understand Bill 168 and uphold policies prohibiting domestic violence, workplace violence, and harassment.

  • Detail-oriented with zero tolerance for errors.
Education and Experience
  • High diploma or equivalent.
  • Post-secondary education in a related field is an asset.
  • Minimum one year experience in sales and/or customer service.
  • Minimum one year experience in the manufacturing industry.
  • Previous experience in an administrative capacity is required.
  • Experience in the door industry is preferred.
