Office Manager/Executive Assistant

Bunzl Safety Canada is seeking a dynamic individual to fill the role of Hybrid Office Manager/Executive Assistant. This position is pivotal in providing administrative support to the Senior Vice President, as well as managing various office administration tasks crucial for the smooth operation of the office. The ideal candidate will be organized, detail-oriented, and possess excellent communication skills.
Responsibilities:
- Provide comprehensive administrative support to the Senior Vice President, including but not limited to calendar management, expense reporting, and email management
- Maintain a high level of confidentiality when handling sensitive information and have access to emails and calendars of executives
- Coordinate and schedule meetings, appointments, and travel arrangements for the Senior Vice President as needed
- Assist in the onboarding of new employees, including setting up workstations and providing necessary administrative support
- Welcome visitors and manage the reception area, ensuring a professional and welcoming atmosphere
- Handle shipping and receiving tasks, including sending out samples and managing incoming deliveries
- Collaborate with various departments to ensure smooth communication and coordination of administrative tasks
- Assist in organizing company events, meetings, and conferences as required.
- Maintain office supplies inventory and place orders as needed.
- Perform general administrative tasks such as filing, scanning, and photocopying documents
- Assist where needed with order entry or financial month end tasks
Qualifications:
- Bachelor's degree or equivalent experience in Business Administration or a related field is preferred
- Proven experience in providing executive-level administrative support, preferably in a sales organization
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines
- Strong communication skills, both written and verbal, with the ability to interact professionally with internal and external stakeholders
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software
- Ability to maintain a high level of confidentiality and discretion
- A proactive and self-motivated attitude, with the ability to work both independently and as part of a team
- Demonstrated ability to handle multiple tasks simultaneously with a sense of urgency and attention to detail
Note: This is a hybrid role that may require occasional in-office presence as well as the ability to work remotely.
