Job Summary
The Research Manager provides complex research, administrative and operational management to the Levings lab. The incumbent manages grant finances and budgets, personnel and student appointments, ethics applications and ongoing updates, grant submissions and contract submission.

Organizational Status

The UBC Faculty of Medicine Department of Surgery educates students at the undergraduate, graduate and postgraduate levels, and pursues research to make innovative advancements in knowledge and practice to improve health. The Department consists of more than 600 physicians, surgeons, scientists and educators and over 70 administrative, research and technical staff, distributed across British Columbia. There are nine divisions in the following specialties: Cardiac Surgery, General Surgery, Neurosurgery, Otolaryngology, Pediatric Surgery, Plastic Surgery, Radiation Oncology, Thoracic Surgery and Vascular Surgery. The Department is also home to the Branch for Global Surgical Care (BGSC).

The Research Manager reports to Dr. Megan Levings. They work closely with other lab members as well as UBC academic and clinical researchers, Department of Surgery administrative staff, trainees, funders, and BC Children's Hospital/PHSA staff.

Work Performed

  • Manages a variety initiatives for the overall lab management and management of specific research projects, including clinical trials.
  • Manages contracts and material transfer agreements.
  • Manages and oversees research grants and trainee fellowships to ensure funds are used in accordance with budget and policies and within funding periods.
  • Prepares budget forecasts, budget estimates for grants, financial reports and other required financial documents for accounts within UBC and PHSA. Resolves any financial issues or problems that may arise.
  • Advises and provides training on a variety of UBC policies and procedures.
  • Manages lab purchasing activities.
  • Facilitation of research project design and implementation.
  • Creates grant applications, ethics applications and regulatory submissions.
  • Contributes to report writing, grant applications, manuscript development, and presentations to key stakeholders.
  • Provides guidance with the management of staff and trainee salary funding allocations.
  • Develops and manages administrative workflows in the lab to ensure smooth operations.
  • Manages site-specific on-boarding and off-boarding processes for lab members.
  • Manages research ethics and patient-sample related databases. Develops a comprehensive records management, filing and organizational system, including data management plans, inventory and record management, and database management.
  • Develops, writes, and edits content to maintain and enhance the lab's communication channels, including website content.
  • Coordinates the acquisition of information from multiple sources and individuals.
  • Manages full-team lab meetings, as well as participates in meetings to define strategies to enable research project goal.
  • Seeks, develops, leads and monitors initiatives to promote equity, diversity and inclusion in the lab.
  • Manages other research related administration and management, as assigned by the PI.
  • Provides guidance and training regarding UBC financial procedures.
  • Contributes to a respectful, inclusive working environment.
  • Performs other responsibilities, as required.

The workspace is in a standard office environment.

Consequence of Error/Judgement

This position exercises professional judgement and initiative in the management of various research projects. The ability to work collaboratively and exercise sound judgment is essential. Failure to plan or follow up on initiatives and poor judgment or errors would have an adverse effect on the research productivity and operational management of the funded projects. Failure to act in a professional, tactful manner would have an adverse effect on campus and community relations. They need to demonstrate initiative and sound judgment to assess and respond to issues and resolve administrative problems. The incumbent must be able to ascertain and interpret guidelines and policies for the efficient implementation of policies and procedures. The incumbent must exercise considerable judgment and requires a high level of organizational skills to fulfill responsibilities, balance priorities, and ensure workflows are efficient and timely.

Errors in the management of research accounts, as well as errors in reporting procedures, could result in a waste of financial resources, non-renewal of research funding, or loss of currently held funding. Inadequate documentation, organization, communication, and planning may adversely affect the credibility of investigators, staff and trainees.

Supervision Received

The Research Coordinator reports to Dr. Megan Levings. The incumbent works independently under general direction.

Supervision Given

None. However, the Research Manager will assist with training new staff and trainees with their orientation, ongoing safety requirements and administrative, financial and operational procedures.

Minimum Qualifications

  • Undergraduate degree in a relevant discipline. Minimum of two years of related experience, or an equivalent combination of education and experience.

Preferred Qualifications

  • At least two years of experience working with research and supporting researchers within an academic community including familiarity with UBC Workday and CIHR grants processes.
  • Ability to exercise judgment, tact, discretion, and diplomacy.
  • Excellent interpersonal skills, along with the ability to work both independently and as part of an interdisciplinary team.
  • Ability to effectively manage multiple assignments, and organize and prioritize workload under pressure to meet deadlines without compromising the quality of outcomes or accuracy of data.
  • Ability to occasionally adjust working hours to facilitate deadline-related work.
  • Demonstrated problem-solving and analytical skills.
  • Experience with processing and interpreting financial statements.
  • Experience with research project management, ethics submissions and grant application and management.
  • Proficiency with Microsoft Office.
  • Ability to communicate effectively and accurately, both verbally and in writing, in English.
  • Ability to deal with a diversity of people in a calm, courteous, and effective manner.
  • Ability to contribute to a respectful, cooperative and supportive work environment.
  • Experience with bio-medical laboratory procedures will be an asset.
  • Ability to analyze and interpret lab management-related data, determine implications, and provide recommendations.
