**Job Title:** Administrative Assistant

**Job Summary:** We are seeking an experienced Administrative Assistant to provide administrative support to our management team at Whiteshell Laboratories. The successful candidate will have a strong background in office administration, excellent communication skills, and the ability to work independently.

**Key Responsibilities:**

  • Manage the scheduling of meetings and appointments
  • Coordinate meetings, including booking rooms and sending invites
  • Prepare correspondence, minutes, and action lists
  • Track and follow-up on actions placed on management and staff
  • Act as liaison between management and staff
  • Organize events, such as seminars and workshops
  • Arrange and coordinate travel
  • Maintain accurate office records and files
  • Adhere to corporate document standards and rules
  • Work with various groups to ensure reporting requirements are met
  • Review and update documents to ensure format requirements are met
  • Communicate objectives, directives, and policies to staff
  • Provide status updates and supporting documentation
  • Handle sensitive and confidential information
  • Assist in preparation of promotion cases
  • Coordinate meetings and gather data for HR processes
  • Assist in budget process and coordinate business support projects
  • Track and order supplies
  • Perform other administrative duties as assigned

**Requirements:**

  • Secondary school graduation and post-secondary training in office/business administration
  • Minimum 7 years of experience in an administrative role
  • Proficiency in MS Office, with expertise in Microsoft Word, Excel, PowerPoint, and Outlook
  • Detail-oriented and comfortable working in a fast-paced office environment
  • Excellent written communication skills
  • Superior organizational skills and dedication to completing projects in a timely manner
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem-solving skills
  • Ability to work independently and as part of a team
  • Demonstrated leadership skills and ability to train and develop others
  • Demonstrated tact, diplomacy, trust, and discretion in handling sensitive and confidential information
  • Knowledge of office management systems and procedures
  • Experience in CNL business systems (Oracle, ATOM)
  • Knowledge of radiation protection, environmental, quality assurance, and security compliance programs

**Security Clearance Eligibility:**

  • Reliability Status with Site Access Security Clearance (SASC)

**Working Conditions:**

  • Majority of duties involve screen time, typing, and sitting for extended periods
