About Aplin Martin:

Aplin Martin is a full-service Civil Engineering, Architecture, Planning, Environmental and Survey company with over 56 years of experience in making sustainable communities a reality across Canada.

The Administrative Assistant will work under the supervision of the Branch Manager or designated supervisor(s) to perform a variety of administrative and office support activities.

Duties & Responsibilities:

  • Office Administration:
    • Prepare proposals, reports, memos, and other documents using computer word processing, spreadsheet, and database software.
    • Create project numbers for Project Managers.
    • Follow up and submit Inspection Reports to the City.
    • Cover reception during lunch breaks and perform reception tasks.
    • Proposal Coordination:
      • Gather and utilize information from different sources.
      • Edit, format, review, and proofread documents for accuracy and completeness.
      • Liaise with stakeholders to ensure timely proposal submissions.
    • Search information on the company ERP system.
    • Provide ad hoc support for office issues.
    • Forward incoming general emails to staff members.
    • Purchase, receive, and store office supplies.
    • Code and file documents according to established procedures.
    • Update and ensure the accuracy of the organization's database.
    • Back up electronic files using proper procedures.
    • Liaise with administrative staff in other branch offices.
    • Provide administrative support to management and staff.
    • Perform month-end duties as required.
  • Reception/Vacation Cover (Head Office):
    • Answer general phone inquiries in a professional and courteous manner.
    • Direct phone inquiries to staff members.
    • Reply to general information requests with accurate information.
    • Greet clients, suppliers, and visitors in a professional and friendly manner.
    • Check the mail and complete the deposit for the day.
    • Cover absences of fellow Administrative Assistants at Surrey Central and Vancouver locations.

Skills & Qualifications:

  • High School Diploma/Post-secondary education in business, computers, or office management.
  • 1-3 years' experience in an office setting.
  • Proficient in Microsoft Office 365.
  • Proficiency in Adobe InDesign and Gantt Charts is an asset.
  • Highly organized, detail-oriented.
  • Ability to work well under pressure, plan, prioritize, and multi-task.
  • Strong analytical abilities.
  • Excellent communication skills (oral and written).

Compensation:

The salary range for this position is $48,000 to $68,000 per year, commensurate with experience, skillsets, and qualifications.
