Duties and Responsibilities:


Reporting to the Assistant Registrar, Academic Evaluation and Curriculum Management, the Calendar Editor is responsible for editing and directing the production of the Undergraduate on an annual basis.

As the owner of the curriculum cycle, the incumbent acts as the liaison with all academic units as well as providing consultation, training and recommendations on the curriculum process following the rules and regulations.


The Calendar Editor is the curriculum lead and provides advice and clear direction to academic departments and curriculum committees regarding the submission of proposals for curricular changes including new and revised undergraduate programs, new and revised courses and rules and regulation changes.

Working with minimal supervision, the incumbent identifies the impact of all curriculum and regulation change requests on new and existing programs.

Using the CourseLeaf curriculum management platform, the Calendar Editor proofs and edits content to ensure consistency with established Calendar and institutional formats, conventions, and regulations.

The incumbent is responsible for making all necessary revisions and updates to the Undergraduate Calendar under tight timelines throughout the year as a result of SCCASP and Senate approvals.


The incumbent is required to work very closely with various university departments and is expected to foster collaborative working relationships with all units.

The incumbent must have a thorough knowledge of the curriculum process identifying and addressing any possible effects of proposed changes on other systems and departments.


The incumbent provides support to the staff of the Registrar's Office in a leadership role, including operational escalations as needed, and participates in regular Team Lead meetings for operational planning and problem resolution.

The incumbent must possess the following qualifications:


In being responsible for the publication of the University Calendars, the incumbent plays the lead role in developing procedures, timelines and processes for the production of the Calendars.

The timely and accurate publication of the University Calendars is vital for the administration of students' academic careers. The incumbent is the key position responsible for Calendar publication and knowledge of the publication tools. An intimate knowledge of the University and its administrative and academic structure is critical.

In addition:

  • Strong, in-depth knowledge of past and current university rules, regulations and course/program curriculum and the ability to interpret the impact of changes in these areas.
  • Thorough understanding of the CourseLeaf calendar and curriculum tools.
  • Strong organization and analytical skills with the ability to summarize analyses and provide recommendations.
  • The incumbent must have advanced written, verbal communication and interpersonal skills and be able to work with staff across the University on Calendar and curriculum related matters and to provide Courseleaf system related advice.
  • The incumbent is expected to work independently and to exercise judgement based on knowledge and experience.
  • The ability to set priorities is essential particularly during peak periods and the incumbent must exercise patience, tact and discretion when dealing with staff across the university.
  • Coordinates, organizes and chairs biweekly curriculum working group meetings, tracking issues and actions.
  • Drafts various communications for general distribution related to CourseLeaf and/or curriculum deadlines and information for approval by Assistant Registrar.
  • Project management skills to coordinate system upgrades and changes
  • Training and presentation skills.
  • Ability to work independently and with an extremely high degree of accuracy.
  • The incumbent must be available to work overtime as required.
Education and Experience:
The above is normally acquired through the completion of:

  • Completion of a university honours degree in English (or equivalent).
  • A minimum of five years in editing or publications management, preferable in a post- secondary environment.
