Job Summary

UBC is embarking on a multi-year project to transform its academic and administrative support processes and systems environments for the entire UBC community with "Workday Student" projected to be implemented fall 2024. The vision for the Workday Student Program is to transform the way UBC supports learning and research, and how UBC can work to create a cohesive and integrated experience for students, staff, and faculty.

The Project Manager is responsible for managing and overseeing projects for the development and implementation of all aspects of Workday Student within the School of Kinesiology. This will involve significant change management, and considerable prep work will be required to bring the School into alignment for transition Workday due to the complexity of the School of Kinesiology degree paths (undergraduate, certificate, and graduate).

This role will manage the project lifecycle, including developing project plans, assigning and identifying appropriate resources, and identifying dependencies integrating with other work-stream plans. The Project Manager is responsible for clearly defining project timelines and ensuring milestones, deadlines, and deliverables are met. This role works in collaboration with the leadership team in the School of Kinesiology, acting as a 'hub' for information sharing and ensuring all parties have the information they need to make decisions for their respective deliverables. The Project Manager maintains a "birds-eye" view of the project, considering all downstream impacts of decisions, developing mitigation strategies, and ensuring all appropriate stakeholders are informed

Organizational Status

The Project Manager reports directly to Manager, Undergraduate Programming & Advising. This role requires regular cross-functional collaboration. The position works closely with undergraduate and graduate program representatives, and acts as a liaison with central UBC offices and committees responsible for Workday Student.

Work Performed

Responsibilities include but are not limited to:

  • Designs and manages multiple concurrent projects of considerable size, diversity, complexity, and risk, all of which are vital to the successful implementation of Workday Students within the School of Kinesiology.
  • Identifies and escalates challenges, providing strategies to mitigate issues, and develops contingency plans to ensure the timely completion of project deliverables. Takes a central role in articulating impacts, exploring the "what-if" scenarios for various project components, and following through with an action plan.
  • Provide advice on business process and functional assessment, design, and development Collaborates with IRP streams, diverse academic disciplines, and administrative units to ensure the seamless integration of FoA's unique needs and requirements into the overall IRP Project plans.
  • Demonstrates a deep understanding of project impacts and interdependencies to ensure the project plans are on track, and communicates/follows-up appropriately with team members.
  • Motivates project teams comprised of diverse stakeholders from within the School. Ensures deliverables, milestones, and timelines are clearly articulated and achievable.
  • Develops and implements internal communication tools and business processes for use between team members to keep them informed of project status, scope changes, and milestone achievements.
  • Understands change management implications of projects, designs change management strategies and tactics, integrates change management into project management plans, and leads the implementation of change management in projects. Collaborates with School of Kinesiology HR as appropriate.
  • Researches and writes project documentation including briefing notes, plans, schedules, reports, status updates, and using a variety of formats. Creates briefing notes for senior team members in preparation for university-wide Workday Students committees and meetings.
  • Curates internal communications, business process maps, and process documentation to keep Faculty and staff informed and engaged with Workday Student, including the various e-newsletters, community meetings, and monthly progress meetings.
  • Drafts website changes with regard to Workday Student to support the School of Kinesiology to meet communications goals and objectives related to the transition and implementation of Workday Student.
  • Supports the School of Kinesiology by writing, proofreading, editing, and producing e-newsletters, student-facing emails, and presentations.
  • Creates internal and external technical documentation supporting the effective use of Workday Student.
  • Records and edits instructional videos and visual artifacts to provide technical instruction for student Workday activities. Liaises closely with staff across the School of Kinesiology to ensure websites and communications clearly convey the School's mandates, visual identities, while aligning with the IRP Workday and UBC brand guidelines and assets.
  • Tracks and records work progress in shared documents/project plans Represents the School of Kinesiology on various Workday Student-related committees and via opportunities that require/request Faculty representation in regard to Workday Student.
  • Responsible for planning and developing landing pages, creating new web assets.
  • Fosters relationships with key groups, individuals, and stakeholders within the School and more broadly across the University.

Consequence of Error/Judgement

This project will touch the entire School of Kinesiology and thus has a high consequence of error with a negative impact on the whole organization. The position is in a key leadership role for ensuring that the IRP Program management practices are adopted within the Program workstreams. Inability to establish effective Program management practices could have an extremely negative impact on Program completion and adoption. Failure to effectively perform in this role would negatively impact the School of Kinesiology's ability to achieve its strategic goals in this area and to implement the new system for students in a timely manner

Minimum Qualifications
Undergraduate degree in a relevant discipline. Minimum of three years of related experience, or the equivalent combination of education and experience.

Preferred Qualifications

  • Degree or diploma in a relevant field such as public relations, marketing, communications.
  • Experience with digital communications and marketing platforms, including coordinating social media campaigns.
  • Experience in designing, developing, launching, and maintaining content-rich websites.
  • Experience with writing technical documentation, creating visual knowledge artifacts.
  • Demonstrated aptitude to learn and test new digital communications programs. Strong familiarity with social media, and various digital marketing tools. Familiar with integrating social media into web strategy.
  • Experience with writing software documentation, training manuals, and online knowledge bases.
  • Demonstrated ability to learn new technologies. Familiarity with the UBC technology ecosystem is an asset.
  • Ability to effectively use general web technology and content delivery tools including WordPress, Confluence, HTML, HTML authoring tools, image formats, and streaming media.
  • Ability to use UBC supported desktop publishing software, such as Adobe Creative Suite, Camtasia, Kaltura, Snagit
  • Ability to effectively use MS Office at an intermediate level (e.g., Outlook, MS Word, MS Excel).
  • Ability to prioritize and work effectively under pressure to meet deadlines, and to be adaptable.
  • Ability to communicate effectively verbally and in writing, with demonstrated experience in writing for varied purposes and audiences.
  • Excellent communication skills, both verbal and written, with an ability to impart and interpret technical information with audiences of mixed levels of ability.
  • Capacity for creativity and research; ability to exercise initiative, resourcefulness, and judgment.
