**Legislative Services Coordinator Job Description**
We are seeking a detail-oriented and technically-proficient individual to support board and committee meetings, providing administrative support and procedural advice to elected officials and other meeting participants.
About Metro Vancouver: We are a regional government that provides sustainable services to contribute to a livable and resilient region and a healthy natural environment for current and future generations.
Key Responsibilities:
- Coordinate and operate technologies to support board and committee meetings, including virtual meeting room technologies and agenda management software.
- Provide procedural advice and take minutes during meetings, ensuring accurate and concise records of deliberations, decisions, and recommendations.
- Support meeting deliberations and related processes, including researching topics, preparing reports, and maintaining correspondence and records.
- Coordinate and support software related to agenda management and elections, and provide guidance on procedural rules and authority.
- Manage meeting material and records, ensure adoption of minutes, and facilitate public access to official records.
- Review and authorize delegation requests to committees and boards, ensuring compliance with applicable terms of reference, bylaws, and legislation.
- Provide corporate training in Legislative Service topics and assist with the preparation of training materials.
- Provide direction to and coordinate contractual services for minute-taking services as required.
- Stay current on applicable laws, statutes, and acts associated with the scope of responsibilities.
Requirements:
- 5 years of recent, related experience supplemented by high school graduation and completion of relevant post-secondary courses in local government, business, or legal administration.
- A Certificate in Local Government Administration and/or completion of FOIPP courses is an asset.
- Considerable knowledge of administrative practices, procedures, and standard protocols.
- Strong interpersonal skills and demonstrated ability to develop and maintain positive and respectful working relationships with internal and external contacts.
- Strong verbal and written communication skills, including the ability to effectively listen and support the resolution of problems.
- Demonstrated ability to prepare minutes and reports that accurately convey deliberations, decisions, and recommendations.
- Demonstrated ability to organize and prioritize tasks to meet multiple time-based deliverables requiring a high level of detail and accuracy.
- Considerable knowledge of meeting and agenda technologies, in terms of configuration and functionality.
- Proficiency using Microsoft office programs, including Word, Excel, Outlook, PowerPoint, Acrobat, and SharePoint.
