We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at the University of New Brunswick. As a key member of our department, you will provide administrative support to students, faculty, and staff, ensuring the smooth operation of our daily activities.
Key Responsibilities- Provide administrative support to the Chair and department members, including preparing documents, managing budgets, and coordinating events.
- Act as a lead point of contact for students, staff, faculty, and the general public, responding to inquiries and resolving issues in a timely and professional manner.
- Assist with the preparation of accreditation reports, including update reports and field placement reports, and work collaboratively with the Director of Social Work and the Field Education Coordinator (Social Work).
- Oversee department operating budgets and departmental accounts, analyzing and reviewing monthly statements for any anomalies.
- Coordinate textbook orders, student opinion surveys, and monitor and facilitate updates to the department website.
- Deliver and retrieve departmental mail, distribute to department members, and provide collaborative administrative support to other Faculty departments as required.
- One-year diploma in Office Administration or Business is required.
- Three years of general secretarial and administrative experience in an office environment is required.
- One year of directly related experience is preferred.
- High degree of proficiency with MS Office, including spreadsheets and databases, is required.
- Working knowledge of Content Management Systems and Acrobat Professional is an asset.
- Demonstrated ability in learning new computer platforms and demonstrated maturity and good judgment are essential.
- Ability to deal tactfully with faculty, students, and staff, and maintain confidentiality is required.
