REPORTS TO: Executive Director
ROLE SUMMARY:
The Executive Assistant provides high-level administrative support to the Executive Director by handling confidential information, managing complex calendars and travel arrangements, preparing reports and presentations, and serving as a liaison to the owners, studios in Toronto and New York, and external stakeholders. This role acts as a gatekeeper and ensures the Executive Director's time is optimized for strategic priorities.
KEY AREAS OF RESPONSIBILITY:
- Manage the Executive Directors calendar, including scheduling meetings, conferences, teleconferences and travel arrangements.
- Prepare briefing materials, reports, presentations, correspondence and other documents with high attention to detail.
- Handle confidential and sensitive information with discretion.
- Make travel arrangements and prepare expense reports.
- Serve as the point of contact for internal and external stakeholders on all matters pertaining to the work of executive director.
- Organize and maintain paper and electronic filing systems.
- Coordinate logistics for events with owners and teams.
- Being involved in company cultural, philanthropic and community events.
- Provide backup administrative support to other executives as needed.
- Undertake special projects and tasks as assigned.
CHARACTERISTICS FOR SUCCESS:
- Bachelors' Degree in management
- 5+ years experience as operations manager or supporting executives.
- Exceptional written and verbal communication.
- Drive to bring change and improvements in the process.
- Acute attention to detail, and ability to work with a high degree of accuracy and throroughness
- Excellent interpersonal skills.
