REPORTS TO: Executive Director

ROLE SUMMARY:

The Executive Assistant provides high-level administrative support to the Executive Director by handling confidential information, managing complex calendars and travel arrangements, preparing reports and presentations, and serving as a liaison to the owners, studios in Toronto and New York, and external stakeholders. This role acts as a gatekeeper and ensures the Executive Director's time is optimized for strategic priorities.

KEY AREAS OF RESPONSIBILITY:

  1. Manage the Executive Directors calendar, including scheduling meetings, conferences, teleconferences and travel arrangements.
  2. Prepare briefing materials, reports, presentations, correspondence and other documents with high attention to detail.
  3. Handle confidential and sensitive information with discretion.
  4. Make travel arrangements and prepare expense reports.
  5. Serve as the point of contact for internal and external stakeholders on all matters pertaining to the work of executive director.
  6. Organize and maintain paper and electronic filing systems.
  7. Coordinate logistics for events with owners and teams.
  8. Being involved in company cultural, philanthropic and community events.
  9. Provide backup administrative support to other executives as needed.
  10. Undertake special projects and tasks as assigned.

CHARACTERISTICS FOR SUCCESS:

  • Bachelors' Degree in management
  • 5+ years experience as operations manager or supporting executives.
  • Exceptional written and verbal communication.
  • Drive to bring change and improvements in the process.
  • Acute attention to detail, and ability to work with a high degree of accuracy and throroughness
