Job Title: Program Coordinator, MSc OEH Company: University of British Columbia About the Role The University of British Columbia is seeking a highly organized and detail-oriented Program Coordinator to support the Master of Science, Occupational & Environmental Hygiene (MSc OEH) graduate program. The successful candidate will be responsible for coordinating various aspects of the program, including recruitment, admissions, graduation, student support and retention, practicum placements, course scheduling and registration, and additional programming. Key Responsibilities
  • Coordinate the MSc OEH program, including recruitment, admissions, graduation, and student support and retention
  • Coordinate practicum placements, course scheduling and registration, and additional programming
  • Provide administrative support to the Head of the OEH Division and the MSc OEH Program Director
  • Develop and update promotional material for the program
  • Attend career fairs and other promotional events as requested
  • Facilitate student requests to the Faculty of Graduate and Postdoctoral Studies
  • Coordinate MSc OEH course scheduling, including course times, locations, and details
  • Coordinate end-of-program processes
  • Provide support to faculty who need assistance on student management software
  • Maintain student records, alumni database, and mailing lists
  • Create and maintain a student program orientation manual
  • Maintain MSc OEH Program Canvas Site and other related sites
  • Organize educational activities, including information sessions, orientation sessions, professional development sessions, practicum sessions, and other activities
  • Organize semi-annual student feedback meetings
  • Attend Graduate Student Support meetings, seminars, and workshops
  • Provide regular updates, statistics, program information, and reports as requested
  • Maintain and update the MSc OEH website
  • Coordinate student participation in the Annual Cascadia Symposium on Environmental, Occupational, and Population Health
Additional Responsibilities
  • Coordinate MSc OEH admissions process, including collating and processing applications, organizing supporting materials, and managing the admissions database
  • Provide advice and interpretation to applicants regarding admission criteria and consult with the Program Director as necessary
  • Prepare recommendations from the OEH Admissions Committee for acceptances and notifications of rejection to applicants
  • Coordinate and explain the admissions appeal process when necessary
  • Coordinate awards competition process for OEH students
  • Organize meetings and distribute applications to the Awards Committee for consideration
  • Liaise with the SPPH Awards Committee on the nomination of OEH students for awards
  • Process nominations for OEH students as directed by the Awards Committee and/or Program Director
  • Coordinate OEH non-credit programs, including promotion, recruitment, registration, learner support, and course evaluation
  • Support the development of new OEH non-credit programs, including conducting market scans, searching for relevant information, hiring and supporting course developers, and performing other related tasks
Requirements
  • High School graduation, plus two-year post-secondary diploma, plus four years of related experience or an equivalent combination of education and experience
  • Willingness to respect diverse perspectives, including perspectives in conflict with one's own
  • Demonstrates a commitment to enhancing one's own awareness, knowledge, and skills related to equity, diversity, and inclusion
  • Post-secondary administrative experience and UBC experience in a program assistant, program coordination, or student support position is preferred
  • Experience/working knowledge of UBC Student Information Systems is preferred
  • Ability to be thorough, accurate, and have a high level of attention to detail
  • Ability to take initiative and exercise sound independent judgment within areas of responsibility and to initiate and follow up actions from brief instructions
  • Ability to effectively use Microsoft Office (e.g., MS Outlook, Excel and Word) at an advanced level and knowledge of web publishing software and web maintenance is required
  • Ability to perform word processing at 50 words per minute
  • Strong verbal and written communication skills, including the ability to compose routine correspondence and other material, using clear and concise business English
  • Ability to prioritize work and meet deadlines, including handling heavy volumes during peak periods
  • Ability to deal effectively with students, co-workers, and the public in a professional, efficient, and courteous manner
  • Ability to work effectively independently and in a team environment
  • Ability to exercise tact and discretion and maintain confidentiality for matters pertaining to personal information of students, faculty, and staff of the School
