Job Summary

Come work as a Program Administrative Assistant with Vancouver Coastal Health (VCH) Vancouver Coastal Health is looking for a Program Administrative Assistant to join the Overdose Outreach team at Downtown Eastside in Vancouver, BC. Apply today to join our team

As an Administrative Assistant you will:

  • Provide administrative services and program support for Addictions and/or HIV / AIDS Services.
  • Act as a receptionist, schedule and confirm client appointments, create and maintain client records, receive and distribute client laboratory reports, and organize and process methadone applications.
  • Perform word processing and transcription duties such as:
  • arranging, attending and taking minutes of meetings,
  • maintaining and compiling statistics,
  • assisting with research and other special projects,
  • setting up and maintaining electronic and paper filing systems,
  • and receiving incoming/outgoing material.
Maintain inventory of program supplies, arrange for maintenance and repairs to the office and office equipment, operate office equipment, orient new and relief team members to the administrative policies and procedures, and engage in on-going team planning, and quality improvement activities.

ABOUT THE OVERDOSE OUTREACH TEAM:

Our team of outreach and social workers and peers provide connections for people who have recently experienced opioid overdose and/or are at high risk for opioid overdose to substance use care and support.

Qualifications

Education & Experience

  • Grade 12 supplemented with an approved Medical Office Assistant/Secretarial program and three (3) years’ recent related experience, or an equivalent combination of education, training and experience.

Knowledge & Abilities

  • Knowledge of office practices and procedures.
  • Knowledge of and proficiency in relevant software, including word processing, spreadsheet, graphic and database software application.
  • Ability to work with marginalized people struggling with severe illnesses and chemical dependency.
  • Ability to communicate effectively both verbally and in writing.
  • Ability to work independently and in cooperation with others.
  • Ability to plan, organize, and prioritize work.
  • Ability to analyze, problem solve and take initiative.
  • Ability to work with frequent interruptions and adapt to changes.
  • Ability to perform relevant calculations.
  • Ability to compile information.
  • Ability to operate related equipment.
  • Business writing skills.
  • Physical ability to perform the duties of the position.
