The Assistant Property Manager will report to the Property Manager on the day-to-day activities for two A-Class office buildings located in downtown Calgary.
Responsibilities:
- Assist Property Manager and Director/General Manager in tendering, selecting, contract preparation and supervising service contracts.
- Conduct frequent janitorial inspections of all buildings in portfolio.
- Regular site visits to all locations and inspect common areas for maintenance.
- Administer all Tenant Work Permits.
- Coordinate changes/updates for QR Connect.
- Complete monthly inputs of waste diversion information into Real Data platform.
- Oversee and implement recycling programs in all buildings.
- Prepare tenant notices for maintenance-related projects.
- Provide analysis of variances of actual expenses compared to budgeted expenses.
- Assist with annual budget preparation and capital project management.
- Pre-approve invoices for service agreements.
- Respond to requests from Tenants and building staff.
- Ensure excellent tenant relations through personal contact.
- Provide property tours to tenants and consultants upon request.
- Assist with planning & execution for tenant/building events.
- Order uniforms for operations as required.
- Assist with preparing submissions for industry certification programs.
- Other duties as required.
Qualifications:
- Experience - Minimum 5 years property and/or facilities management experience.
- Education - Preference to post secondary in real estate and/or RPA/FMA or CPM designation.
- Relationship/Leadership Skills - Effective communication skills; able to develop cooperative working relationships.
- Organizational/Multi-Task Skills - Able to manage tight deadlines and handle multiple demands.
- Decision Making Skills - Able to resolve problems using sound reasoning.
- Computer Skills - Intermediate knowledge of Word, Excel, Yardi, and Microsoft 365.
