We are seeking a talented and enthusiastic Proposal Coordinator to join our highly collaborative and dynamic marketing team. The position can be located in our Vancouver studio.

Working closely with the Marketing Director, the marketing department, and the studio’s leadership team, your primary responsibilities will be to produce compelling proposal submissions and lead communication efforts in support of branding, business development, public relations, and client engagement goals.

The successful candidate will have a minimum of four years’ experience in marketing, preferably in a professional services firm, ideally in architecture. Our new teammate will be a positive, resourceful, and proactive individual who possesses strong writing, graphics, interpersonal, and communications skills, is highly creative, a strategic thinker, and is skilled at managing competing priorities.

As a Proposal Coordinator, you will be responsible for the following:

  • Work with the marketing and management teams to lead marketing’s contribution for: RFQ’s, RFEI’s, RFP’s, client interviews, and research.
  • Develop proposal strategy by analyzing RFP requirements and building comprehensive, differentiating, and compliant responses to create successful bids.
  • Lead the proposal process and production through to the final draft and submission, including being responsible for layout and design consistent with established branding.
  • Provide writing support for all portions of responses, writing and editing content as required and working with practitioners and subject matter experts, as needed, to elicit and finalize content.
  • Edit to ensure that the proposal is free of grammar, spelling, and typographical errors and complies with the corporate style guide.
  • Keep everyone informed Provide regular updates on proposal progress to pursuit team and marketing management.
  • Follow established quality assurance processes for developing quality proposal documents.
  • Contribute to process improvement initiatives and support their implementation.
  • Prepare high-quality and accurate documents in accordance with the agreed strategy and expectations under the pressure of changing timelines.
  • Be a brand champion Ensure consistent visual identity across documents using templates, logos, and following brand guidelines.
  • Conduct research for proposals, analyzing competitors and potential partners.
  • Additional responsibilities may include crafting social media posts, developing award submissions, and preparing materials for media, such as pitches, press releases, or project packages.
  • Video production and content development skills are an asset.

To join us, you should have:

  • Completion of post-secondary education, ideally in marketing, communications, architecture, or a related field.
  • 2+ years of experience in proposal coordination or proposal management roles, ideally in an Architecture/Engineering/Construction industry.
  • Advanced proficiency in InDesign and Microsoft Office Suite (Word, Excel, PowerPoint).
  • Stellar writing and editing skills with a keen eye for detail.
  • Strong graphic skills utilizing graphic programs and branded templates.
  • Excellent communication and interpersonal skills.
  • Ability to manage multiple tasks efficiently and meet tight deadlines.
  • Creative and strategic thinking with an ability to prioritize and problem solve.
  • A collaborative spirit and a willingness to learn.
