Our client is looking for a professional to join their team.

What Your Impact Will Be


The Office Manager assists the executive team by delivering administrative services of a confidential and sensitive nature. This role involves responding to various general and confidential inquiries, liaising with both internal and external contacts. Additionally, the Office Manager handles correspondence and manages financial administration tasks. Key responsibilities include managing the exec team’s appointment calendars, scheduling regular committee meetings, organizing events and at times arrange travel logistics.

Responsibilities


  • Handling a wide range of general and confidential inquiries promptly and professionally.
  • Managing the compilation and processing of invoices, departmental journal vouchers, and cheque requisitions as needed.
  • Collaborating with various stakeholders to request and provide information, offer referrals, and disseminate pertinent details.
  • Assessing incoming correspondence for the exec team, determining items requiring forwarding or duplication to other administrative offices.
  • Organizing and overseeing the scheduling of meetings, as well as coordinating the daily appointments for the office,
  • Planning and executing special events in collaboration with the team; reaching out to attendees, supervising catering arrangements, and providing relevant assistance.
  • Facilitating domestic and international travel logistics.
  • Initiating and overseeing follow-up actions concerning scheduling or travel-related matters.
  • Maintaining and managing electronic and manual record-keeping systems.


Must Haves

  • Bachelor’s degree in business administration, Administrative Management, or other relevant discipline, and three years of related experience; or an equivalent combination of education, training, and experience.
  • Proficient verbal and written communication skills, capable of assisting with communications tasks as required.
  • Proficiency in effective time management skills, including prioritization, task delegation, and meeting deadlines.
  • Strong interpersonal abilities to establish a broad network of relationships with both internal and external contacts.
  • Capacity to uphold strict confidentiality, demonstrating mature judgment, tact, and discretion.
  • Exceptional organizational skills with an adept ability to prioritize tasks effectively.
  • Competence in recording and transcribing meeting minutes.
  • Extensive knowledge of word processing, spreadsheet, and database applications.
