The Position

Reporting to the Associate Vice President, External Relations, the External Relations Coordinator is responsible for administrative tasks related to the AVP including coordinating and preparing for meetings, agendas, minutes and records of meetings, and groups chaired by the AVP.

The Coordinator also provides administrative support to both the Director, Donor Relations and Director, Strategic Relations by ensuring timely communications flows, monitoring projects with the Marketing & Communications team, tracking institutional fundraising performance, coordinating on and off campus events and supporting other external engagement activities of the institution.

This is a 100% FTE role @37.5 hrs per week

Responsibilities
  1. Provide EA support to the AVP:ER - 20%
    • Responding to communications, meeting requests and other correspondence from internal stakeholders (students, faculty, staff) as well as responding to external stakeholders and organizations on behalf of the AVP as needed and/or appropriate.
    • Supports the fundraising responsibilities AVP:ER by monitoring and coordinating donor communications and tracking progress ensuring timely stewardship of the AVP’s donor caseload.
    • Work directly with AVP ER to help organize their schedule and help stay on task in relation to meetings with external stakeholders, and more.
    • Ensure data integrity in Raiser’s Edge through accurate and consistent entry of new donor records, updating contact information, entry of actions and call reports, uploading relevant documents for the AVP:ER caseload.
    • Work directly with AVP ER in developing and tracking annual budget.
    • Provide general hospitality to the ER division by maintaining or coordinating refreshments for external guests.
    • Other administrative duties as assigned.
  2. Provide administrative support to the Director, Strategic Relations - 30%
    • Provide expertise and assistance with event planning for all alumni, church, parent and community campus events.
    • Tracking event invites and attendance in Raiser’s Edge.
    • Coordinate sponsorships of church conferences and community events, and ensure appropriate staffing for each.
    • Order parent and alumni giveaway items.
    • Package and send out Alumni Milestone gifts, graduation gifts, and legacy parent Campus Visit Day gifts.
    • Send extra Resound Magazine copies to parents of students and alumni in the magazine, and alumni in the magazine and record action in Raiser’s Edge.
    • Record alumni mentioned in Resound articles in Raiser’s Edge.
    • Cross-train to enter updated alumni records via email updates or from Alumni Update Forms submitted in Raiser’s Edge.
    • Conduct stakeholder research relevant to specific portfolios.
    • Other administrative duties as assigned.
  3. Provide administrative support to the Director, Donor Relations - 50%
    • Help to create, update, and analyze fundraising activities and the team’s progress throughout the year such as acquisition and retention strategies, caseload progress, appeal performance and annual unrestricted and restricted funding goals.
    • Cross-train on creating lists in NXT and queries/exports in database view to provide data to the DR team as needed.
    • Collaborate with the Marketing and Communications team to ensure timely completion of projects supporting Donor Relations.
    • Conduct research relating to individuals and organizations (businesses & foundations) to assist in qualifying and ranking prospects. Prepare constituent profiles assimilating information from internet, AI and subscription sources as well as historical notes in Raiser’s Edge.
    • Participate in caseload strategy meetings and support the Director, DR in executing strategy and monitoring progress with Mid-Level, Major and Planned Gift donors.
    • Collaborate with the Mid-Level Officer to coordinate annual and endowed award stewardship reports.
    • Collaborate with the Manager, Planned & Major Gifts to coordinate Lionshare Legacy events and activities.
    • Cross-train in RE to provide gift processing backup support to cover the Donor Relations Coordinator as needed.
    • Provide expertise and assistance with event planning for all donor events.
    • Attend and keep minutes for Donor Relations team meetings.
    • Other administrative duties as assigned.
Preferred Skills And Attributes
  • Strong proficiency in word processing and spreadsheet software with the ability to analyze data and create reports.
  • Strong communication skills and the ability to positively interact with internal and external stakeholders.
  • High attention to detail and accuracy.
  • Technical skills in database management and familiarity with Raiser’s Edge, Raiser’s Edge NXT is an asset.
Education, Training & Certifications
  • University Degree, College Diploma or other combination of education and relevant administrative experience.
Other Requirements
  • Understanding of Redeemer University (mission, values, and Reformed Christian identity).
