Job Summary

The Order Management Coordinator provides customer support and executes order processing for domestic sales transactions. This is a hands-on position for an individual capable of executing processes and procedures with minimal supervision.


Responsibilities

  1. Monitors and updates delayed shipments daily in ERP software program.
  2. Manages and tracks complex orders to ensure timely scheduling and shipments.
  3. Able to read and interpret customer purchase order specifications and coordinate requirements with various departments within Thermon and vendors, as required.
  4. Coordinates and processes sales orders for internal and external customers.
  5. Primary point of contact for customers. Acts as liaison between sales, Thermon affiliates, final customers and internal Thermon departments.
  6. Able to follow order management processes and documentation for accurate transactions.
  7. Assists and provides guidance to sales managers, sales personnel, affiliates and final customers with order management processes & procedures, INCOTERMS, proforma invoices, commercial invoices, international documentation, shipping documentation, RMA's freight quotes.
  8. Maintains contact with Thermon's affiliate offices, customers, freight forwarders, consignees and inspectors regarding order status and provides timely notification of delays.
  9. Coordinates new orders/new customers' processes for payment terms, mode of delivery, customer set up in Axapta system prior to order entry.
  10. Enters, ships and invoices orders in Dynamics Ax ERP system.
  11. Monitors international order processes to ensure sales order and export compliance.
  12. May need to prepare shipping documentation such as commercial invoice, packing list, test reports, certificate of conformance, Certificate of Origin and any other required quality or customer required documents.
  13. Assists Order Fulfillment Manager with additional responsibilities, when necessary.
  14. Comply with safety regulations and maintain clean and orderly work areas.

Qualifications

Experience:

  1. 2+ years of relevant order processing and customer relations.
  2. Knowledge of shipping terms and shipping documentation.
  3. Microsoft Office Suite (Word, Excel, Power Point, Outlook).
  4. Experience with an ERP/MRP software system required. Microsoft Dynamics AX a plus.
  5. Project Planning experience a plus.

Education:

High School Graduate (minimum).

Regular Activities: Sitting for 1-2 hours at a time. Working on a computer 6-7 hours per day. Talking on the phone up to 2 hours per day.


Occasional Activities: Lifting up to 25 lbs (file boxes).
