Position Summary

The Project Coordinator reports directly to the Contract Manager and collaborates closely with the Senior Manager Distributor Services. The primary responsibility of this role is to support the Contract Manager in executing client contracts and purchase orders. The Project Coordinator will help execute the following responsibilities


Responsibilities

  • Manages the project once received from the Order Process Manager;
  • Scheduling shop drawing preparation and verify them prior to sending to customer;
  • Sending submittal packages (i.e.: certificates, reports);
  • Verifying customer information prior to submitting to engineering for production release;
  • Schedule work with production and customers to meet requested delivery schedules;
  • Ensuring smooth execution of contracts from pre-production to shipping and final invoicing;
  • Assists with backlog management, communicating with dealers for clarification;
  • Resolving conflicts with customers and ensuring utmost customer satisfaction;
  • Order entry for replacement panels using internal software;
  • Scheduling installers support.


Education & Experience

  • Bachelors degree in Business Management or equivalent;
  • A minimum of 1 year experience in project management, preferably in a manufacturing or construction environment.


Skills & Requirements

  • High degree of autonomy and professionalism;
  • Ability to multitask and establish priorities in a rapidly moving environment;
  • Extremely organized and meticulous and able to work under stress in fast paced environment;
  • Ability to respond adequately to all requests from various stakeholders;
  • Demonstrate diplomacy, empathy and creativity when it comes to managing difficult situations;
  • Team spirit, consideration, ownership and respect of others are highly valued attitudes in this position;
  • Proficiency in Microsoft Office;
  • Strong analytical, decision-making and problem-solving skills
  • Excellent verbal, written and interpersonal communication ability in both English & French. *Advanced proficiency levels in both languages is required as this role will be working with customers from all around the world (mostly USA);
  • Daily Communication with worldwide customers in writing to provide project shipment dates;
  • Oral communications with worldwide customers for clarifications on projects requirements;
  • Daily Communication with worldwide logistics companies for shipping coordination;
  • Daily Communication with worldwide finish suppliers to coordinate project finish shipments.
