We are seeking a highly organized and proactive Executive Assistant to support the Vice President, Commercial. This role requires a dynamic individual who can manage various administrative tasks while adapting to a flexible work schedule. The Executive Assistant will be responsible for coordinating travel arrangements, organizing expenses, and assisting with scheduling. This role will also support the preparation of management reports and presentations and the tracking of sales forecasts.

Key Responsibilities

  • Arrange and manage travel itineraries, accommodations, and related logistics for the Vice President, ensuring smooth and efficient travel experiences.
  • Organize and submit expense reports for reimbursement, maintaining accurate records and ensuring timely processing.
  • Assist with managing the Vice President’s calendar, including coordinating meetings, appointments, and events. Ensure all scheduling conflicts are resolved promptly.
  • Engage in a hybrid role, with the flexibility to be present in the office approximately 50% of the time.
  • Handle sensitive information and maintain confidentiality regarding executive matters and company information.
  • Act as a point of contact between the Vice President and internal/external stakeholders, ensuring effective communication and relationship management.
  • Draft, proofread, and format documents and reports, ensuring accuracy and professionalism.
  • Manage and prioritize tasks and projects for the Vice President, ensuring timely completion and alignment with business objectives.
  • Conduct research and analysis on various topics as requested by the Vice President, providing insights and recommendations based on findings.
  • Utilize advanced Microsoft Excel and PowerPoint skills to create and manage reports, presentations, and other documents.
  • Collaborate with the Inside Sales team to prepare reports, analyze data, and create presentations that support sales activities and strategic initiatives.
  • Support planning global and regional events such as business review meetings and trade shows.

Requirements

  • 4-6 years of experience in an administrative or executive support role, focusing on travel coordination, expense management, and scheduling.
  • Intermediate to advanced proficiency in Microsoft Office, particularly Excel and PowerPoint.
  • Experience with data analysis, report generation, and presentation creation is essential.
  • Ability to work a flexible schedule, including in-office presence when required.
  • Strong verbal and written communication skills, with the ability to interact effectively with colleagues, vendors, and senior management.
  • Excellent organizational abilities, attention to detail, and the capacity to manage multiple tasks and priorities simultaneously.
