Working for the Department of Infrastructure Planning, Development, and Partnerships

The Asset Information and Analysis unit is one part of the Infrastructure Planning, Development, and Partnerships department that supports the asset management and work management systems of University Services, Finance & Operations (USOF). We enable team members across USOF to work more efficiently and effectively by managing and tracking facility data within the portfolio.

Position

Reporting to the Lead, Infrastructure Engineer, the Facility Asset Management Specialist is responsible for the collection, management, and validation of infrastructure asset information for the University of Alberta from installation to removal of assets. The role is responsible for in-field verification, collection, tagging, and cataloguing of infrastructure assets across the U of A portfolio. In addition, the role will be tasked with contributing condition assessment information that inputs to the provincial deferred maintenance database.

The role will also be responsible for managing record drawings of asset locations, as well as maintaining the database of asset data including data quality validation and upkeep. This information, in tandem with the Trades Infrastructure Maintenance team, will be used to develop and maintain the Preventive Maintenance program.

Finally, the role will work as subject matter experts of infrastructure assets in a cooperative relationship with a variety of team members in Engineering & Operations, Project Management Office, and Trades Infrastructure Maintenance. In order to ensure that the asset information database is up to date, as well as reporting on and providing expertise to stakeholders.

Duties

  1. Conducts in-field audits in buildings to validate and collect information on infrastructure assets. Also tags and catalogues new and missed equipment for addition to the infrastructure and asset inventory database.
  2. As part of the validation and collection of information, this role also documents and assesses asset and facility conditions using visual inspection and investigation as well as creating cost estimates on the deferred maintenance liabilities associated with any requirements.
  3. Tracks and maintains the VFA deferred maintenance database by ensuring deferred maintenance requirements are added, closed, cost, or modified as per the latest facility and asset condition assessment data.
  4. Inputs, manages, and manages all asset data in the infrastructure asset inventory database to ensure the accuracy and reliability of the database.
  5. Works with the University Services, Finance, and Operations work management system AssetWorks AiM to manage asset data to ensure that the Preventive Maintenance program is both complete and running.
  6. Act as the subject matter expert to internal and external stakeholders regarding U of A facilities and infrastructure asset information, condition, and deferred maintenance requirements.

Minimum Qualifications

  1. 6+ years of directly relevant experience in building design, construction, operations & maintenance.
  2. P.Eng. or C.E.T. designation is required in good standing with APEGA/ASET.
  3. Demonstrated knowledge of mechanical, electrical, architectural and structural building systems, as well as knowledge of applicable maintenance standards and building codes.
  4. Must be proficient with Microsoft Office (Word, Excel, and PowerPoint).
  5. Must be proficient with AutoCAD and Autodesk Revit.
  6. Proven ability to read and interpret construction drawings.

Preferred Qualifications

  1. Proven experience with cost estimation is a strong preference.
  2. Proven experience with work management or computerized maintenance management systems would be an asset.
  3. Experience with business intelligence tools (Tableau, Power BI) would be an asset.
  4. Strong problem-solving abilities coupled with a natural curiosity toward process improvement are necessary for success.
  5. Ability to prioritize and adapt while maintaining professional standards will be key to success.
