Project Coordinator

Reporting to the Dean, this position is responsible for informing and supporting the work of the Centre for Teaching and Learning (CTL). Primary functions are coordinating and facilitating the development and delivery of CTL staff training, faculty orientations, and related supporting resources. The role coordinates with appropriate Project Planners to develop action plans arising from data, and coordinates information sharing between academic schools and Teaching & Learning for the purposes of quality assurance. Additional duties include providing backup support for the Learning Management System (LMS) Administrator (including training on LMS applications) and student focus groups as needed, as well as relief support for the Administrative Assistant.
Specific Duties
- Coordinates CTL projects and activities, orientation and onboarding of CTL staff and program faculty, and other activities, including resource sharing and web presence.
- Liaises with CTL and other program staff regarding training and curriculum development projects.
- Assesses administrative components of activities and provides appropriate advice, as required.
- Develops strategies to inform information technology education development and implementation.
- Analyses data and provides written and oral reports, including recommendations for improvements.
- Coordinates with Project Planners the development, monitoring and assessing of action plans for improvements.
- Provides research, advice, and coordination for special initiatives; including determining effective reporting models, developing summaries, and collating and analyzing complex information.
- Researches and identifies best practices, initiating activities and collaborating for results and recommendations.
- Provides support to the LMS Administrator in their absence or during peak times, as required.
- Assists in explaining to operational employees, administrative employees, faculty employees and students in the use of software applications and LMS used by the College.
- Demonstrates in a presentation how a software program works, creating step-by-step guides for working with software.
- Provides ongoing user technical support to the learning management system and other educational technology.
- Provides relief support for basic office operations (e.g. email monitoring) when the Administrative Assistant is absent.
- Provides project support on an as-needed basis for office/College initiatives, as required.
- Supports and facilitates student focus groups and surveys when needed.
- You will be part of a team actively engaged in contributing to and accomplishing the vision, mission, and goals of the College and in supporting the aspirations and needs of our learners and communities.
- You will promote a positive work atmosphere and communicate in a professional manner that demonstrates mutual respect with students and colleagues.
- Other duties as assigned by the Dean or designate.
- Bachelor’s degree (or higher) specializing in project management, business or education.
- 3 years or more experience in project management.
- Demonstrated ability to manage multiple projects within given timeframes.
- Demonstrated ability to effectively manage all resources for project completion.
- Proven ability to gather, analyze, integrate and summarize complex and varied material, and to provide accurate, complete and current information and advice.
- Ability to write clear, structured, articulate reports providing well-founded recommendations.
- Proficient in appropriate technological resources; including, word processing, database construction and application, spreadsheets, email, internet, and web-based and relevant research technologies.
- Good knowledge of relevant office procedures and practices with attention to detail as required for the planning, implementation and maintenance of special projects.
- Excellent skills in problem-solving, including the ability to resolve a variety of unusual conditions using both analytical skills and the development of new information on the problem situation.
- Experience with learning management systems and various distributed learning modalities is an asset.
- Effective group facilitation skills required; training or certification in group facilitation an asset.
- Demonstrates strong initiative and judgement in professional settings.
- Schedules and organizes workload with little or no supervision.
- Works calmly and effectively under pressure.
- Proven ability to work effectively with details.
- Ability to maintain confidentiality of information.
