We are searching for a personable, organized, independent and detail-oriented Executive Assistant. You will be responsible for coordinating and planning all business-related aspects for a member of BCA’s Leadership Team.
Your key responsibilities will include:
- Calendar Management. You'll prioritize inquiries and requests for meetings, conference calls, dinners and other engagements while troubleshooting conflicts; making recommendations to ensure smooth day-to-day engagements. You'll provide daily calendar updates, summaries of upcoming activities, and detailed meeting prep ahead of webinars, one-on-one meetings and more.
- Client Services. Act as point person for some of our top-tier clients to organize meetings and answer client requests in a timely manner.
- Special Projects. Analyze current workflows and identify areas for improvement, utilizing AI tools and technologies where applicable. You'll support with designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence, maintaining contacts lists.
- Information Management. You'll maintain open communication, ensuring cross-collaboration within various teams. This will be through note taking, monthly update reports, daily meetings and entering data into our CRM.
- Travel Arrangements. You'll research, book, and coordinate travel -- ensuring required travel documents (such as VISAs) are in place, building itineraries, maintaining, and updating all calendars, and liaising with required parties at travel destination(s). This includes for domestic and international travel.
- Expenses. You will organize receipts and complete expense reports.
- Event Planning. You'll help plan and execute lunch/dinner events and conferences.

Key Skills, Qualifications and Experience
- 1-3+ years' of post-bachelor experience as an executive assistant, preferably in the finance industry.
- Passionate about AI and other workflow efficiency programs.
- Mastery of Microsoft Office (PowerPoint, Word, Excel), and fluency with computers in general.
- Experience with creative programs such as Canva and Photoshop
- Advanced proficiency in Salesforce and CRM system management.
- Due to the executive’s frequent travel, flexible with working odd hours.
- You enjoy taking initiative, working collaboratively, and managing multiple projects simultaneously, while meeting tight deadlines.
- Excellent organizational and project management abilities.
- Outstanding communication and interpersonal skills.
- Maintaining confidentiality and exercising a high level of discretion is essential.

Assistant(e) exécutif(ve) - IA/technologie/Canva
Nous recherchons un(e) Assistant(e) exécutif(ve) compétent (e), organisé(e), indépendant(e) et soucieux(se) du détail. Vous serez responsable de la coordination et de la planification de tous les aspects liés à l'activité d'un membre de l'équipe dirigeante de BCA.
Les responsabilités du poste :
- Gestion du calendrier : vous classerez par ordre de priorité les demandes de réunions, de conférences téléphoniques, de dîners et d'autres engagements, tout en résolvant les conflits et en formulant des recommandations pour assurer le bon déroulement des engagements quotidiens. Vous fournirez des mises à jour quotidiennes du calendrier, des résumés des activités à venir et une préparation détaillée des réunions avant les webinaires, les réunions individuelles et autres.
- Services à la clientèle : vous agirez en tant que point de contact pour certains de nos clients de premier plan en organisant des réunions et en répondant aux demandes des clients dans les délais requis.
- Projets spéciaux : vous analyserez les flux de travail actuels et identifier les domaines susceptibles d'être améliorés, en utilisant des outils et des technologies d'intelligence artificielle si nécessaire. Vous contribuerez à la conception et à la production de documents, de rapports et de présentations complexes ; à la collecte et à la préparation d'informations pour les réunions avec le personnel et les parties extérieures ; à la rédaction et à la préparation de la correspondance et à la mise à jour des listes de contacts.
- Gestion de l'information : vous maintiendrez une communication constante et assurerez une collaboration transversale au sein des différentes équipes. Pour ce faire, vous prendrez des notes, établirez des rapports mensuels, organiserez des réunions quotidiennes et saisirez des données dans notre système de gestion de la relation client.
- Organisation des déplacements : vous effectuerez les recherches, les réservations et la coordination des voyages, en veillant à ce que les documents de voyage requis (tels que les VISA) soient en place, en établissant des itinéraires, en maintenant et en mettant à jour tous les calendriers, et en assurant la liaison avec les parties concernées sur le lieu de destination du voyage. Cela vaut pour les déplacement nationaux et internationaux.
- Dépenses : vous classerez les reçus et remplirez les notes de frais.
- Planification d'événements: vous participerez à la planification et à l'exécution des déjeuners/dîners et des conférences.

Compétences clés, qualifications et expérience :
- 1-3+ années d'expérience post-baccalauréat en tant qu'assistant de direction, de préférence dans le secteur de la finance.
- Passionné par l'IA et les autres programmes d'efficacité des flux de travail.
- Maîtrise de Microsoft Office (PowerPoint, Word, Excel) et aisance avec les ordinateurs en général.
- Expérience avec des programmes créatifs tels que Canva et Photoshop.
- Maîtrise avancée de Salesforce et de la gestion des systèmes de gestion de la relation client (CRM).
- En raison des déplacements fréquents du cadre, vous êtes prêt à travailler à des heures irrégulières.
- Vous aimez prendre des initiatives, travailler en collaboration et gérer plusieurs projets simultanément, tout en respectant des délais serrés.
- Excellentes capacités d'organisation et de gestion de projets.
- Le respect de la confidentialité et un haut niveau de discrétion sont essentiels.
