Roles & Responsibilities - Project Coordinator


Construction project coordinators assist the Project Team in the planning, organizing, and coordination of the activities of a construction project, under the direction of the Project Manager.

Typically, will work on-site most of the time, based on project requirements, looking after the day-to-day responsibilities of the project, which will usually include daily communications, record keeping, tracking changes in the work, as well as trade / vendor estimates, costs and invoicing, and in addition will monitor the schedule, budget, and track potential delays and other risks.

They should ensure that the communication framework is organised and efficient and archived properly in the project files and corporate file server.

This can include communicating with various departments in the organization, and external stakeholders to make sure that relevant reports and information are disseminated to all relevant parties on time.


Project Coordinator Duties and Responsibilities Summary:
The daily duties of project coordinators vary depending on the project, but the most common construction project coordinator responsibilities will include:

  • Assist and provide support to the project manager in the development of internal document control such as project budgets, project schedules, scope statements and project plans, RFIs, Shop Drawing logs, Long Lead item tracker, Procurement logs, etc.
  • Execute project management administrative tasks such as managing billings, invoices, purchase orders and inventory reports, among other project financial control documents.
  • Attend meeting with projects' clients to assess their needs and define project requirements, acceptance criteria and project timelines in coordination with the project manager.
  • Coordinate the allocation of project resources to ensure the project team has what's needed at the right time.
  • Assist the PM in assigning tasks to team members and help them understand what's expected from them in terms of project milestones and deliverables.
  • Track schedule impact and delays.
  • Help project managers monitor project progress and team members' performance and provide updates to project stakeholders in coordination with the Project Manager.
  • Schedule stakeholder meetings, document meeting minutes and generate reports.
  • Foster cross-team collaboration to help project team members complete project tasks and produce their deliverables.
  • Any other project related task as assigned by the project manager.

Project Coordinator Primary Skills and Qualifications:

  • Minimum of 5 years experience
  • Good communication skills, including writing, speaking and active listening.
  • Knowledge of construction best practices.
  • Initiative and proactive.
  • Technical skills for interpreting construction methods and technologies along with contracts and technical drawings.
  • Timemanagement skills to meet deadlines and ensure construction phases are completed on time.
  • Effective problemsolving and decisionmaking skills.
  • Organizational skills, including time management, delegation, prioritization, and multitasking.
  • Basic computer skills with experience in MS Office and MS Project, Bluebeam/Adobe
  • A degree in construction related discipline is an asset.

From $65,000.00 per year
