Reporting to the Director, Human Resource Services and consistent with the Mission, Values and policies of St.
Amant, the HR Assistant is a critical role in ensuring the success of St.
Amant business and operations.

Amant, the HR Assistant works collaboratively with partnered programs while offering employees respectful customer service.

The HR Assistant primarily assists and supports the Director, Human Resource Service with various assignments, projects, and organization. In addition, the HR Assistant is responsible for providing a broad range of administrative support for the HR Team.


The HR Assistant coordinates and compiles HR statistical data for various Corporate Indicator Reports including Program-based and other recurring HR indicator reports for the organization.


Qualifications:

Educational:

  • High school Diploma, Certificate or G.E.D.
  • Postsecondary education or training that is relevant to the job responsibilities is considered
  • Secretarial training, community college or career college level with emphasis in computer and office skills
  • HR related courses are an asset

Professional:

  • Previous experience as an executive assistant, administrative assistant or secretary providing a broad range of administrative/secretarial services
  • Experience in handling all HR activities in a confidential matter (i.e. legal documents, employee personal information, projects, etc.)
  • Experienced and knowledgeable in the use of the full range of modern office equipment
  • Experience using Quadrant or another HRIS
  • Strong organizational, time management and communication skills (written and verbal)
  • Experience in producing large volumes of accurate and attractive professional documentation/materials
  • Experience in creating and maintaining standard templates and forms
  • Experience working with employees and the public in a confidential, effective and professional manner
  • Excellent data entry accuracy and attention to detail

Duties and Responsibilities:

Program Service and Support:

Consistent with the Mission, Philosophy and Policies of St.

Amant, the HR Assistant provides a broad range of quality administrative support for all areas with HRS and the Director, Human Resource Services.

Quality services are evident when professional communication, timeliness, accuracy, ethical awareness / sensitivity, confidentiality are consistently demonstrated as required by legislation and program/service standards.


Duties include:

  • Assists as required in maintaining employee personnel files as directed in absence of the Receptionist
  • Proofreads material and amends as required
  • Provides photocopy, fax, departmental mail and electronic mail services
  • Maintains the Quality Improvement (QI) reporting requirements as it relates to HRS activities
  • Maintains the Policy and Procedure manuals as it relates to HRS including coordinating policies due for review and outstanding
  • Maintains office supplies and equipment and orders new materials as needed
  • Maintains all job descriptions of St.
Amant and ensures they are up to date

  • Compiles information from different platforms by developing databases and computer reports
  • Enters and maintains QHR database as required (e.g. OHS noncompliance, employee contact info, etc.)
  • Develops and writes reports, etc. from the QHR
