The
Student - Financial Coordinator is responsible for organizing, processing and distributing all incoming departmental mail and reports in an accurate and timely manner.
Work must be completed within set deadlines to meet the Financial team, as well as other teams within the department, daily/monthly processing objectives and timelines.
The Coordinator is also responsible for processing non-complex premium payments adhering to the set rules and guidelines of premium processing, reconciling the processed batches of payments and updating all necessary logs.
KEY ACTIVITIES
Mail and Daily Report Distribution:25%**- Open, stamp, sort, investigate and distribute cheques regularly throughout the day
- Review and distribute other daily mail and reports
- Obtain and validate required signatures for all system generated and requested refund cheques and reports
- Open and review returned mail and distribute to appropriate individual/Team
Premium Processing:15%**- Process high volume premiums received from individual insureds.
- Analyze premium rates/provincial breakdown and manage noncomplex premiums for Non-Billed, Billed and Broker Payment On Accounts. Process and reconcile payments processed on the CLASS Administration System
- Update the Excel worksheet of all posted and reconciled premium batches
- Update noncomplex client credit card record on the CLASS Admin System
File/Record Management

- Preparing all team documents for imaging by reviewing and confirming document coding and creating applicable bar coded index sheets
- Prepare to send files/documents to offiste storaage facility by coding document information onto the Iron Mountain online system and creating index sheets
- Searching for and retrieving files from Iron Mountain when requested
Monthly/Quarterly/Annual Report and Cheque Management:10%**- Review, verify and mail System generated credit card expiry letters for individual insureds
- Review, distribute and file monthly/quarterly and annual system generated reports
- Obtain and validate required signatures for all system generated and requested cheques and reports
- Review and distribute Monthly Broker Commission Statements, Statement of Charges and Cheques
Miscellaneous Tasks/Projects:10%**- Order and maintain department supplies and forms
- Assist department members with miscellaneous copier, printer and imaging issues
- Provide peer training
- Other miscellaneous projects as assigned
EDUCATION & EXPERIENCE
- High school graduate supplemented by Postsecondary education;
- Willingness to take LOMA 280 and 290;
- Ability to work independently with mínimal supervision and under pressure;
- Fast and highly accurate data entry skills;
- Ability to research/investigate;
- Selfmotivating;
- Basic/Intermediate Word/Excel skills;
- Strong team player;
- Ability to organize and prioritize various tasks to meet challenging deadlines, priorities and requirements;
- Has a good understanding of how the team integrates with other teams in the department;
- Good Customer Service Skills, and ability to work with a diverse group of people;
- Available fulltime, 35hrs per week, at the office.
