Support Staff Full-time Appendix D Position (June January 31, 2025)


The Field Placement & Community Liaison Officer coordinates sound implementation, risk management and quality assurance related to unpaid field placements and off-campus experiential learning across all programs in their portfolio.

The incumbent contributes to consistency in departmental processes and the continuity of relationships among internal and external stakeholders, guiding students, faculty, program leads for field placement, college business units, and host organizations with respect to placement positions, affiliation agreements, liability insurance documentation, and site and risk assessment.


Responsibilities:

Placement Organization:

  • Facilitate the Safety in the Workplace course, advising and ensuring students successfully complete the course before they begin their Field Placement
  • Provide verbal and written guidance to students based on Work Integrated Learning (WIL)/program protocols and requirements and ensure all risk management expectations are met; inform program leads for field placement of students with outstanding requirements
  • Communicate current offcampus site expectations, including professionalism and safety training, to the student(s)
  • Collaborate with program leads for field placement on matching students to approved sites, creating distinct placements
  • Set up and maintain student records
  • Schedule WIL arrangements for all students and complete documentation of placements using MyCareer, including recording opportunities and connecting students to placement sites
  • Support and guide students in the use of MyCareer and the Student Experiential Record
  • Maintain ongoing contact with organizations used for WIL ensuring relevant student information is communicated
  • Coordinate WIL forms, keep up with ongoing changes, maintain necessary inventory
  • Use the tracking system (HS Trax) to keep an uptodate inventory of student documentation; source information as requested by Chair or program leads for field placement

Site Organization:

  • Serve as ongoing contact with WIL locations, providing guidance and explanation of expectations, responsibilities, and procedural requirements
  • Develop opportunities for student placements through relationship development in the community, and working with faculty and program leads for field placement to connect with industry experts
  • Collaborate with sites and program teams to determine required preplacement health and safety requirements
  • Visit prospective new placement sites, meet with staff, complete observations and make recommendations to faculty and program leads for field placement on suitability of placement
  • Confirm approved sites and obtain documentation required prior to the commencement of unpaid placements through contact with WIL site supervisors
  • Obtain affiliation agreements, proof of liability insurance and WSIB declarations for all sites
  • Use the database to keep an uptodate inventory of affiliation agreements and other documentation

Community and College Liaison**:

  • Liaise with the community to promote the Schools and programs in portfolio
  • Contribute to college initiatives (i.e. Open House, College Fair, Explore Conestoga, etc.)
  • Attend faculty/program meetings and contribute to short and longterm planning and assist with the implementation of new quality initiatives and other changes as they relate to field placement
  • Maintain ongoing contact with organizations used for WIL placements ensuring program updates are communicated to sites and site information is current and communicated to appropriate parties within the program/school

Placement Implementation & Student Support**:

  • Monitor student engagement with placements
  • Collect student work from placement/site supervisors and organize evaluation results
  • Meet/liaise with faculty, and/or program leads for field placement/site supervisors, and/or students, contribute to issue identification, triage and resolution/remediation

Qualifications:

  • Twoyear Diploma/Degree in Business, Administrative Studies, Community or Public Service, Social Sciences, Career Management, or General Arts and Science
  • Five years of experience to include working with community partners, relationship management, student support, job development, risk management, customer service and experience supporting logístical and/or administrative requirements
