You will be responsible for carrying out the following duties specific to your Position:
Create a positive first impression as you greet clients, guests, and visiting employees
Track all visitors, including vendors, visiting employees and guests
Manage EV parking and vehicle logs and records, security access cards and keys
Assist with tracking employee on-boarding/off-boarding processes.
Manage incoming and outgoing courier and other packages or mail as required.
Support the annual management plan by accomplishing key performance indicators as identified by management.
Demonstrate confidence, professionalism, responsiveness and exceptional customer service skills.
Perform other facility management assignments as described by team and manager.

Qualifications:

Must be fluent in both English and French
Answer reception phone calls, directing calls to the appropriate contact
Escort visitors to their designated areas when necessary
Create and manage access badge requests for client, vendors, guests etc.
Manage Client EV parking requests coordinating with the landlord
Assist with placing service tickets and maintenance calls on facilities and workspace related items. Follow up on completion of those facilities and workspace issues
Assist with special event setups/breakdowns & coordination efforts
Assist with managing collaborative spaces and conference/meeting/training rooms coordinating with the Client and/or Day Matron when requested or required
Provide backup assistance for incoming and outgoing Mail and Shipping/Receiving services
Assist in prepping any outgoing packages. Maintain all mail systems and metrics.
