:Administrative Assistant and Conference Specialist

Responsibilities and Duties:

  • Assist with the timely & attentive response to requests from our valued clients.
  • Scheduling events & ensuring any requested changes are updated in our systems.
  • Leading operator moderated conference calls (managing the configuration of the conference call on the teleconference bridge, welcoming & conducting a sound check with the presenters, introducing the presenters to their audience, moderating the question & answer session, and performing postevent duties such as editing the audio recording and preparing participant lists).
  • When not serving as lead operator, assisting callers to reach the correct conference call.
  • Assisting others with postevent reporting for clients as required.
  • Reviewing transcripts for quality control.
  • Assisting with accounts payable.
  • Assisting with scheduling of personnel assignments for events.

Qualifications, Skills, and Attitudes:

  • A university degree this is a nonnegotiable requirement.
  • Fluency in spoken English & excellent writing composition skills required.
  • Some work experience preferably experienced in customer care and/or administrative support.
  • Excellent interpersonal skills, organizational skills and an understanding of working as a team.
  • An aptitude for attention to the detail required for organizing & managing communication events.
  • A solid background in the Microsoft suite is required. (specifically Outlook, Word & Excel)
  • Creative skills in graphic design, audio and/or video editing is a plus.
  • Must have flexibility for working early morning hours to cover events in eastern time zones.
  • Must be open to being trained on the proprietary technology used to host conference calls and schedule events.
