Purpose:


Under the general direction of the Chief of Government & Community Relations and Protocol (CGCRP), the Advisor, Special Projects, Events and Protocol (ASPEP) will ensure that each event hosted by the Office of the President is designed in a manner to meet the specified objectives and articulated purpose and is responsible for planning and execution of projects.

They will also be responsible for interpreting and implementing university policies, standards and procedures related to special events and protocol.


Education:

University degree or equivalent.

Experience:


Three (3) years' related experience in a university, non-profit or government environment and at least two years of experience managing events/projects.


Skills:

Knowledge of the organization and workings of the University at a departmental and constituency level. Knowledge of university policies and practices. Knowledge of French an asset. Proven ability to work calmly and effectively under pressure of high volume of work and constantly changing priorities.

Ability to work simultaneously on projects and the ability to work cooperatively as part of a small team, as well as independently.

Ability to establish and maintain good working relationships with all parts of the University, government and corporate offices at a senior level.

Advanced knowledge of Word, Excel, Access and PowerPoint. Knowledge of various types of software to update websites (e.g. Word Press). Knowledge of e-report software.

Excellent oral and written (grammar, composition, punctuation) communications skills and customer service skills to communicate with internal and external constituents.

Strong interpersonal skills. Ability to deal courteously and effectively with people. demonstrates initiative and flexibility. Excellent organizational skills, the ability to exercise good judgment and initiative in providing advice and appropriately directing/resolving problems. Ability to maintain confidentiality and handle highly sensitive issues with diplomacy and tact. Well-developed political sensitivity. Extensive knowledge of protocol and social etiquette. Supervisory skills, and effective coaching, facilitation, team building, conflict resolution and relationship management skills. Ability to coordinate meetings, take minutes and synthesize information into action.

Uses software to update websites (e.g., Word Press), list-serve management, demonstrated project management skills, event coordination and execution, excellent attention to detail and the ability to exercise discretion and decision-making.

Demonstrated and proven understanding of financial concepts and terminology (e.g., actuals, budgets and encumbrances). Ability to read, understand and interpret complex financial information.

Compensation:


York's CPM Compensation Framework has a salary grid consisting of 6 or 8 steps (depending on job grade) which is reviewed annually with possible adjustments, and a lump sum Performance Based Recognition Award.

Employees will receive the grid adjustment and depending on performance, eligible permanent employees may move to the next step of the grid and may receive a lump sum Performance Based Recognition Award.
