C3 Alliance is a dynamic boutique firm dedicated to providing consulting and event management services, strategic advice and solutions, whilst bridging the needs and goals of Indigenous Peoples, the resource sector, government, academia, and other key stakeholders.

We are seeking a highly organized and proactive Administrative Assistant/Bookkeeper to join our growing team.

Executive Team Support:
Manage executive team calendars, scheduling meetings, and travel arrangements.
Prepare and organize documents, reports, and presentations for executive meetings.
Assistance with the preparation of monthly expense and travel claims.
Prioritize and manage tasks to ensure executives' time is optimized.

Office Administration:
Maintain office supplies, equipment, and inventory; oversee office maintenance and organization, liaising with building maintenance staff.

Human Resources Administration:
Assist with internal office procedures and revisions to employee handbooks.

Accounting Administration:
Prepare monthly consultant billing reports for Project Manager approval.
Reconcile monthly visa statements and receipts.
Assist with AP process and track invoices, expenses, and office-related budgets.
Assist with day-to-day accounting duties as directed.
Filing and other administrative duties as directed.

Coordinating a variety of meetings (including events) ensuring hospitality and audio-visual arrangements.
ensure seamless meetings, troubleshooting technical issues as needed.

Manage and update databases and contact lists, ensuring accuracy and completeness; a minimum of 3 years experience providing administrative support services such as arranging meetings, making travel arrangements, managing files and data entry.

strong proficiency with MS Office products, especially Excel.
experience in drafting and proofreading emails, memos, letters, and reports; experience working with accounts payable and accounts receivable.

Language Requirements
~ Strong English written and oral communications skills.

Highly proficient with Microsoft Office and Adobe Acrobat.
Associates or bachelor's degree, diploma or certificate in office administration program is considered an asset.
