School Organization Operations Supervisor

Under the responsibility of the Assistant Director of Administrative Support, the Supervisor of School Organization Operations is responsible for managing activities related to the School Organization Department as well as providing administrative support to the academic sectors, the academic program and the registrar's office.

He manages the human resources under his responsibility and promotes the development of their skills.

RESPONSIBILITIES

  • Acts as a point of contact with the academic sector with regard to the compliance of the faculty assignment process;
  • Allocate the human and material resources necessary to carry out teaching activities;
  • Ensures the proper dissemination of information on the requirements of procedures related to his/her sector of activity;
  • Calculates, confirms and monitors teaching loads (TCs);
  • Ensures the management of absences, illnesses and replacement of teaching staff;
  • Disseminates schedules to teachers, analyzes and processes their request for a schedule change;
  • Confirms assignments for internship supervisions;
  • Ensures followup with the payroll department, validation and signing of teachers' contracts in collaboration with the administrative technicians of the school organization;
  • Ensures the followup of outofsession courses as well as contracts;
  • Supervises the design of master schedules for each session as well as the personalized schedule of students and teachers;
  • Supports management in the review of procedures, regulations and policies: relevant data collection, analysis and recommendations;
  • Any other related duties within his/her line of business may be assigned.

REQUIREMENTS:

  • University degree in Educational Administration or related field;
  • At least 3 years of experience in a management role in the field of education;
  • Indepth knowledge of Quebec's educational policies;
  • Project management and planning skills;
  • Previous experience with the Omnivox and Clara systems;
  • Bilingual (French and English).
This role involves interaction with internal and external clients and partners on a national and global scale. Professional proficiency in English is therefore a requirement for this role.
