Receptionist/legal Assistant

Overview:

Responsibilities will include, but are not limited to:

  • Greet and direct visitors in a friendly and professional manner;
  • Answer, screen, and forward phone calls to appropriate personnel, providing information and resources to callers as needed;
  • Receive, sort, and distribute daily mail/deliveries;
  • Maintain office security by following safety procedures and controlling access via the reception desk;
  • Preparing legal/court documents and correspondence based on written instruction, verbal direction, and precedents;
  • Organize and maintain electronic and physical files, including diarizing files;
  • Assist with general practice management, including filing, scheduling meetings, and extensive work in an electronic document management program;
  • Uphold confidentiality in all legal matters; and
  • Other duties as assigned.

Requirements:

  • Must be able to work from 8:30am to 4:30pm, Monday-Friday;
  • Proven work experience as a Receptionist or in an administrative or legal support role;
  • Proficiency in Microsoft Office (Outlook, Word, Excel). Experience with document management software would be an asset;
  • Strong organizational skills with the ability to prioritize tasks effectively;
  • Strong phone etiquette and customer service skills;
  • Excellent writing skills, including proper spelling, grammar, and punctuation;
  • Knowledge of basic legal concepts, principles and terminology;
  • Ability to handle sensitive and confidential information with discretion; and
  • Ability to take initiative when necessary and to interact with other employees to assist them as needed.

From $36,500.00 per year
