Job Purpose
The
Office Administrator/Clerk is responsible and accountable for the smooth operation of Canadian Diamond Boyz. Specifically, the Office Administrator/Clerk is responsible for welcoming visitors, coordinating meetings and appointments, and directing various administrative projects.


This position is in charge of tracking daily business financial workflows, keeping financial data organized, and communicating with vendors and clients in a professional manner.

The ideal Office Administrator/Clerk requires excellent time management, organizational, communication, problem-solving, computer, and interpersonal skills. The incumbent also needs to be able to work in a fast-paced environment.

Duties and Responsibilities

Administrative Duties

  • Handle incoming calls, buzz customers up, greet clients and customers as needed
  • Attend staff meetings
  • Help organize, clean, and maintain common areas
  • Maintain office equipment as necessary
  • Maintain accounting software and system management
  • Maintain records of financial transactions by establishing accounts, posting transactions, and ensuring legal legal requirements are met
  • Comply with legal requirements by staying up to date and enforcing changes
  • Advise management on needed actions
  • File and sort sensitive information
  • Contribute to team effort by accomplishing related results as needed
  • Organize & Submit monthly documents for Accountants
  • Schedule & conduct Inventory counts from Lightspeed
  • All Shopify sales
  • Gather monthly statements & prepare for accounting
  • Integrate and adapt knowledge of other fields to benefit the business
  • Properly prepare paperworks for accountant to ensure accuracy and timeliness
  • Monitor the overall improvements of the systems, data entry and development document new procedures & business flows with detail

Clerical Duties

  • Process technical/digital sales
  • Process daily shipping needs incoming & outgoing
  • Manage systems like POS System
  • Manage filing systems
  • Create and maintain data entry
  • Perform bookkeeping duties by preparing books for each month to provide to accountant
  • Serve as the trusty to accounts management by updating and maintaining paperwork, and word processing
  • Be proactive and seek out ways to improve the financial state of AP
Perform additional related duties as required.

Key Qualifications

  • High school diploma, GED, or equivalent required
  • Post secondary completion of an office administration course preferred
  • Two to three years of experience in an office setting preferred
  • Specific industry experience is preferred
  • Expertise with Lightspeed is an advantage
  • 3+ years of experience in bookkeeping
  • Thorough knowledge of accounting
  • Data entry skills

Working Conditions

  • This job is set in an office environment.
  • The standard working hours is from 9 a.m. to 5 p.m. from Monday to Friday.
  • Start time can vary
  • Hours of work needed is 32 hours per week
  • Overtime may be required
  • Extended periods of sitting in front of a computer

Job Types:

Salary:
$19.88-$22.88 per hour
