Responsibilities:

  • Provide general administrative assistance including organizing mail, answering telephones, photocopying, paper/electronic filing, and document preparation and control including updating manuals
  • Perform administrative functions through creating and managing documents, spreadsheets, and other digital/printed materials
  • Maintain files and process documentation
  • Coordinate meetings, travel arrangements, office services including supplies and equipment maintenance
  • Work across the organization to provide administrative support such as data entry, database management, and other requested activities
  • Assists with department financial administration requirements including accounts payable and receivable, reconciliations, and journal entries
  • Prepare meeting agendas & record minutes
  • Assist in the digitization of records and creating efficient storage systems
  • Represent DWW at external events and conduct presentations/tours of the facility as needed
  • General office duties as required

  • Demonstrated ability to set goals, create action plans and evaluate progress and results
  • Superior problem solving skills, a high level of organizational ability and ability to deal with multiple deadlines and demands
  • Selfdirected with the ability to take initiative
  • Experience and proficiency with utilizing contemporary computer technologies (ie. Microsoft 365 Suite, Adobe Suite) and contact management databases
  • Ability to work irregular hours on occasion around events and activities
  • A focus to continuously improve systems, processes and practices and to recommend solutions
This full-time/summer position reports to the Executive Associate (Monday to Friday, 9:00 a.m. to 4:00 p.m.) with some irregular hours from time to time (evenings and weekends) around events and other activities. This position pays $17/hour, 35 hours per week.

This job is partially funded through the Canada Summer Jobs Grant, which restricts applicants to between the ages of 15 to 30 years of age at the start of employment.
