About the Role:


Reporting to the HR Systems & Payroll Manager, the the incumbent is responsible for processing, reconciling, analyzing and remitting amounts for the payroll and benefits liability and expense accounts.

This includes preparing government and payables remittances with close attention to detail to ensure accuracy and deadlines are met for reporting on a calendar, fiscal and academic year ends.

In addition, the incumbent will provide recommendations for payroll and benefits process improvement in line with best practices.

This position is a full-time role working 35 hours per week.

Responsibilities:

  • Reconcile benefit liability accounts and prepare payable requisitions and remittances for but not limited to health and dental, health spending, personal spending, critical illness, life insurance, long term disability and employee family assistance program. Ensure all benefits are being deducted from employees accurately and action any discrepancies in a timely manner. Act as main point of contact for remittances with all external service providers.
  • Act as backup and support for key Payroll Manager duties regarding matters such as processing EFT's, transmission of the payroll to the bank, and addressing urgent payroll queries. Required to make judgements that are often time constrained and require immediate action. Ad hoc duties for proficiency of the department and forward thinking for all potential improvements.
  • Prepare, reconcile and remits Canada Revenue Agency payments by deadlines for each pay period and ensures completeness and accuracy.
  • Prepare payment remittances for MRSA, MRFA union dues.
  • Reconcile Local Authorities Pension Plan (LAPP) with multiple sources of data including but not limited to long term disability payments from insurance providers for those on LAPP and buy back payments received through payroll deductions and a separate EFT file for those on leave. Where differences occur, liaison with internal or external contacts to correct. Prepare cash remittance forms and journal entries for amounts received from LTD insurance providers and EFT buy backs. Process leaves ensure that all employees on Long Term Disability have the correct pension amount calculated.
  • Reconciles professional development funds to ensure that they have been loaded correctly in Banner and the liability and expense accounts are accurate at each month end.
  • Runs payroll encumbrance processes at each pay period.
  • Reviews payroll data files for exceptions period over period and investigates unexplained differences as necessary.
  • Prepare Tslips at calendar year end for all employees including Tslip summaries and reconciliations.
  • Prepare Tslip amendments and Tslip amendment summaries and reconciliations as requested by the Manager, HR Systems & Payroll.
  • Maintain Payroll and Benefits business events calendar, ensuring monthly, quarterly, calendar year end, fiscal year end and academic year end activities are completed on time, including but not limited to WCB reconciliation, Tslips, tax updates, & LAPP reconciliation.
  • Create system testing scenarios and execute test cases to validate results against the requirements; including Payroll functional and regression testing.
  • Assist users to effectively implement the technical solution through appropriate training, procedures and consultation.
  • Define query and report requirements to extract information for decision makers & 3rd party vendors (SunLife, CRA, Alberta Government).
  • Complete payroll and benefit audits; investigate options and implement changes to resolve ongoing issues.
  • Perform other related responsibilities as required to meet Payroll and Benefits goals and objectives.
