We are looking for a full-time
Receptionist. As a key member of the Client Services team, you will be reporting to the Team Leader, Client Services.
In this role, you will be responsible for creating a memorable guest experience that focuses on exceptional client service, while demonstrating a professional and pleasant demeanour.
Scope of Responsibilities:
- Greet each guest arrival at the firm in a friendly and courteous manner, this includes: making eye contact and smiling, informing parties involved of arrival, and following instructions on any guest specifications (i.e. beverage offering)
- Respond to general inquiries from the public and forwarding calls to the appropriate personnel or department
- Oversee daily meeting room requests through meeting room software; ensure that all meeting requirements have been captured in software and communicated to the appropriate departments; manage and train firm members on meeting room software and Zoom
- Manage and facilitate virtual meeting requests, this includes launching meetings and handing over meeting rights with some meetings taking place afterhours
- Maintain constant awareness of surroundings, including reception and meeting rooms; this includes observing guests who may enter the floor without checking in at reception and escalating as required
- Act as the firm's Emergency Response Program Dispatcher for all emergencies, including medical and nonmedical emergencies by attending annual Emergency Training
- Familiarize oneself with frequent callers and visitors (i.e. learning their names and/or knowing which organization they represent)
- Assist the Client Services team by providing support and assistance to others during absences as needed and as business volumes dictate, including event set up, placing catering orders and event clean up
- Perform daily opening procedures, this includes opening main reception door and opening each meeting room
- Contact and coordinate with building management as needed for any afterhour meeting requests/events (i.e. lighting, HVAC)
- Other duties as assigned
Requirements:
- High school diploma or equivalent
- 12 years of relevant experience within a professional services environment
- Excellent interpersonal skills and ability to foster strong relationships with clients
- Experience with meeting room software
- A team player who takes initiative and works well independently
- Discretion, confidentiality and attention to detail are essential
- Excellent written & verbal communication skills
- Demonstrates excellent client service and ability to anticipate client needs
