Position Description:

SUMMARY OF MAIN FUNCTION AND PURPOSE OF JOB:

As a Patient Information Float Clerk, you will frequently be the first point of contact when patients and families arrive to the unit.

You will provide service in a customer-focused manner.

You will facilitate the delivery of patient care by providing a high level of support and assistance to patient cluster staff and patients/families.

You will also support the operation of the team/department by providing clerical and administrative functions in a proactive, organized manner.

You will be responsible for ensuring that information is complete, accurate, accessible, and protected. You will assist with patient registration/admissions/discharges, ensure thorough communication, manage documents, equipment, and supplies, and provide well-rounded customer service.

In your role, as a float clerk, you will responsible and trained to float to inpatient areas and ambulatory areas.

All float clerks will need to be flexible in floating to multiple areas of the hospital in a given shift (e.g., 2 hours in ED, 2 hours in ICU, 4 hours in administrative coordinator work, etc.).

Hours LD=9am to 9 pm.,EVE= 15.00 to 23:00 and SN = 23:00 to 7:00.

Here's What You'll Get To Do

  • Greet patients and families, and assist in meeting their needs when appropriate
  • Float includes working in multiple areas of the hospital: inpatient units, outpatient clinics, the Emergency Department and administrative office duties.
  • Responsible for patient booking, registration, admission processes. Ensures related documentation is processed and patients/families and health care team are informed.
  • Maintains order of front desk.
  • Answer the telephone and respond to requests for information on units.
  • Pages staff as needed.
  • Ensures chart is available and is completed in a timely manner.
  • Facilitates transfer of patients between patient care areas.
  • Schedules and coordinates tests, procedures, return/followup appointments as necessary. Follows up on and rebooks noshows and rescheduled clinics as necessary.
  • Assist in Pneumatic Tube System monitoring (sending/distributing)
  • Acts as a liaison between patient care area and other departments/units across the hospital with regard to patient procedures.
  • Ensures documentation faxed to appropriate health care professional and/or agency. Aides with photocopying and scanning needs.
  • Responsible for urgent patient bookings as identified by health care team.
  • Schedule and coordinate appointments.
  • Organize and maintain patient charts, as well as electronic and paper information filing systems.
  • Maintain electronic calendar/schedules.
  • Coordinate unit administrative functions to ensure efficient operation of the unit, within scope of authority.
  • Provide clerical support to all health care staff.
  • Identifies issues and needs related to patient flow, administrative processes and technologies and takes the initiative to problemsolve with others.
  • Prepare requisitions, referrals, labels, and other documents.
  • Perform other duties as assigned.

Here's What You'll Need

  • Diploma from a recognized Medical Administration program is an asset
  • Medical Terminology certificate
  • Previous clerical experience in a hospital/medical environment is an asset
  • Experience with patient registration systems, such as Epic, is an asset
  • Proficiency with computers (i.e., MS Office Suite, Outlook, MS Word)
  • Strong communication, interpersonal, and organizational skills
  • Adaptability, punctuality, reliability, and commitment
  • Strong critical thinking and problemsolving abilities
  • Ability to be selfdirected, to be flexible and to take initiative
  • Attention to detail and efficient time management
  • Excellent customer service orientation and professional etiquette required
  • MUST be available to work all kinds of shifts and be flexible to work weekends, and Stat Holidays.
