Overview:


The Data and Information Analyst - Undergraduate Studies provides data analysis and develops insights to support operational and strategic decision-making pertinent to student success in the Faculty of Science.

This role is responsible for sourcing, understanding, consolidating, and analyzing data. The primary pools include enrolment and student performance data. Analysis is to support admissions practices, enrolment planning, and program offerings.

This Analyst role is accountable for the development of insights that can be used to facilitate leadership decisions by the Associate Deans (Undergraduate Studies and Student Relations).

For example, insights may highlight instructional opportunities to improve student success.

Effective communication of analyses and findings is a key attribute of the role and essential to enable all stakeholders (e.g., Unit Heads, program advisors) to have context for recommendations and actions presented by either of the Associate Deans for Undergraduate Students and Student Relations.

Information-drive projects and their prioritization are established through consultation among senior Faculty of Science administrators (Assoc. Dean Undergraduate Studies, Unit Heads, Dean, Executive Officer, and Director of Strategic Planning).

There is a qualified internal within the role.

Responsibilities:

Data Acquisition and Management

  • Operates within University policies and exercises best practices for privacy and confidentiality, and records and information management. Advises internal stakeholders on best practices for data and records management
  • Works in partnership with information project sponsors (e.g., Assoc Deans, Unit Heads) to assess value and utilization of specific information on a projectbyproject basis
  • Develops a deep understanding of the available data, systems, dictionaries, and distribution channels from multiple information systems across the University
  • Operates with data quality standards and identifies data anomalies and discrepancies to appropriate institutional data stewards for resolution
  • Designs, documents, and builds appropriate data acquisition channels and/or modifies existing channels as required for Faculty of Science projects
  • Applies descriptive and inferential statistics in order to understand trends, patterns, and dependencies with respect to a variety of strategic issues
  • Ensures Sciencederived solutions for information transformation remain optimal by maintaining awareness of changes and anticipated changes in institutional data sources
  • Creates and maintains documentation for information and data projects.
  • Explores utilization of tools, systems, and practices to improve information analysis and communication across all domains of the role
  • Writes scripts to automate data collection, analysis, and distribution for cyclical tasks (e.g., academic progression), including for student advising and engagement purposes
Data Analysis and Reporting in Support of Undergraduate Studies

  • Maintains indepth and current knowledge of undergraduate operations in the Faculty of Science, regarding:
  • undergraduate curriculum and academic requirements for all programs
- admissions regulations and practices
- student relevant regulations and University policies
- discipline processes used in the Faculty of Science and supporting data requirements

  • Applies institutional record keeping practices to Science Undergraduate Office (SUO) electronic and paper records (e.g., verification of illness forms [VIFs], selfdeclarations, and ASIS [Advising Student Information System] or equivalent notes).
  • Maintains accurate program advisement templates and coordinates with academic advisors and Registrar's Office (RO) staff, when updating and verifying
  • Evaluates student engagement and satisfaction through the development and implementation of survey(s)
  • Works with varied clients to identify, clarify, and fully understand their questions or problems to provide effective data answers and solutions
  • Prioritizes and responds to ad hoc and routine data inquiries
  • Communicates findings, recommendations, and data through reports, presentations, and visual analytics
Communication and Knowledge Translation

  • Trains and supports staff and other stakeholders with respect to the use of any data analysis tools or dashboards created for Science Undergraduate Studies projects.
  • Communicates effectively with multiple, varied clients (senior leadership, faculty members, and staff) to understand needs, scope of projects and project terms; reports on progress and presents findings.
  • Builds constructive relationships to support business process and datarelated collaboration with university partners, like Institutional RO, Institutional Analysis and Planning (IAP), Information Systems and Technology (IST), Marketing and Undergraduate Recruitment (MUR), and Student Success Office (SSO)

Qualifications:
