Reporting to the Senior Vice President Development, Polygon is looking for a Development Administrator who will provide day-to-day assistance to the busy development team.

Responsibilities include:

· Liaise with the Finance and Accounting groups to ensure that all project cost control reports are current, budget change orders are prepared and tracked, project invoices are processed in a timely manner, and cheque requisition and Letters of Credit are prepared.

· Provide administrative support to the Vice Presidents and Development Managers which includes preparing transmittals, arranging for couriers and printing, completing electronic and paper filing, and coordinating the execution of legal agreements by various signatories.

· Maintain consultant and municipal contact and project data within the company databases (Salesforce and Sharepoint) and provide information to Sales and Marketing as requested.

· Prepare Consultant Request for Fee Proposals (RFPs) and Consultant Retaining Letters

· Maintain fee schedule tracking reports and advise the Vice Presidents and Development Managers of pending budget issues.

· Prepare the weekly Development Project Status Report and the monthly Development Offsite Report and distribute to Polygon's managers.

· From time-to-time, assist with the collection of information for Due Diligence reports and draft Development Bulletins. Activities may include obtaining drawings, reports, historical data, costing, municipal regulations, by-laws and policies, and liaising with other Polygon groups.

Requirements

· Three years work experience in the real estate industry

· Comprehensive working knowledge of Microsoft Office suite. Experience with Sharepoint and Salesforce are a benefit

· A team player with a strong work ethic and outstanding administrative skills

· A keen attention to detail along with strong organizational and time-management skills

· Ability to thrive in a busy multi-tasking office environment
