Located in London, Ontario, the Cross Cultural Learner Centre (CCLC) provides settlement services and support to newcomers while promoting intercultural awareness and understanding.

We are currently looking for a Youth Employment and Skills Strategy (YESS) Program Assistant.

The Program Assistant is responsible for performing a wide variety of administrative and support related duties for the YESS program within Community Connections.

The position is responsible for being first point of contact via phone and in person for program requests, supporting staff in administrative tasks and file management activities.


Roles Responsibilities

Administrative and Clerical Duties (80%):

  • Act as first point of contact for the YESS program via phone and in person ensuring information/requests are forwarded to the appropriate person
  • Provide administrative support to the YESS program such as document and spreadsheet creation, filing, Outlook calendar management, database management, faxing, courier and ordering of supplies
  • Provide support with programming, groups and special events
  • Support staff in file creation and maintenance
  • Create professional quality materials such flyers, infographics, posters, presentations and promotional materials
  • Assist with client appointments, booking interpreters for client workshops, etc.
  • Assist with booking/preparation and set up of the rooms for program activities
  • Maintain contact lists, promotional binders, displays, mailing lists, fax lists & website content for promotional postings and announcements
  • Maintain accurate records on expenses and transactions pertaining to YESS program
  • Coordinate room and space booking for program events
  • Ensure office technology is used efficiently and effectively, staying up to date on changes and best practices that would increase productivity with the program
  • Other Duties (20%):
  • Complete all mandated training
  • Attend all required staff meetings and workshops
  • Ensure appropriate and confidential handling of all client information and files
  • Operate in accordance with the policies, guidelines, and protocols of the program and partner organizations
  • Accept other duties as assigned

Qualifications

  • The minimum level of education required is a High School Diploma
  • Minimum of one year of experience in providing administrative and clerical support to a business or nonprofit organization including experience in MS Office, video conferencing, document creation, filing and database maintenance
  • Intermediate skills in MS Office and Teams/Zoom/video conferencing
  • Ability to communicate effectively both in individual and in group settings
  • Ability to develop partnerships and collaborative relationships across different stakeholders
  • Ability to communicate effectively both verbally and in writing
  • Ability to stay organized and prioritize work in a high volume, deadlineoriented environment
  • Ability to work with individuals and groups from diverse cultural backgrounds and commitment to inclusion
  • Ability to complete a satisfactory Vulnerable Persons Police Check
  • Ability to speak a second language is an asset
